POSITION SUMMARY This position assists with the event logistics of a diverse portfolio for Asia Pacific corporate events. The candidate will work with internal and external stakeholders to ensure that strategic objectives are met, budget targets are met or exceeded, and internal customer satisfaction is high. This position requires supervision and is responsible to assist with making a wide range of critical decisions, working closely as part of an overall high-performance team. Candidate must be detail oriented and meticulous.
DETAILED RESPONSIBILITIES/DUTIES Technical production management for virtual and in person events, video post-production work coordinationAssist in all production aspects of virtual and in person eventsConceptualization of gift ideas, putting together presentation materials, overseeing start to end process of sourcing, production management and logistics for delivery to APAC marketsCoordinate contracts for independent contractors, venues, hotels and services. Maintain good communication with the legal and controllership team for contract reviews and policies while routing these items for appropriate approvals and signatures - maintain files of executed copies.Participation on site and support local, regional and global events when neededResponsibilities to include raising POs, invoices and purchase requisitionsResearch event destination and venues Coordination of hotels and travelSchedule meetings and take meeting notesCoordinate event calendar and agenda updatesLiaise with vendors and venue partners for all event requirementsAssist with expense reports, invoice and budget reconciliation MINIMUM QUALIFICATIONS Skills/Education/Experience:
Min. 5 years of event experience, in corporate or event agency planningPrior experience in a high-touch, customer service environmentBachelor's degree in Marketing, Business, or Hospitality ManagementExperience in logistics and operations backgroundExcellent verbal and written communication skills, bi-lingual in English/ ChineseProficiency in MS Office (Word, Excel, PowerPoint and Outlook)Ability to solve practical problems and carry out responsibilities under general supervisionAbility to organize workload for effective implementation; ability to manage multiple projects simultaneouslyAbility to function as an effective team member and strong customer relationsAbility to interact effectively at all levels with sensitivity to cultural diversityAbility to travel
