Job Responsibilities: Shipping Operations Management: Supervise and coordinate daily shipping activities, ensuring compliance with international shipping laws and regulations.Ensure timely and accurate shipment documentation, including bills of lading, packing lists, customs declarations, certificates of origin, import permits and other relevant documentation.Monitor inbound and outbound shipments and address any delays or issues that arise. Collaborate with suppliers and freight forwarders to streamline logistics operations.Customs Compliance & Ruling Procedures: Ensure all import/export activities comply with Malaysia's customs regulations and international trade laws.Manage the preparation and submission of customs documentation, ensuring accurate declarations and timely clearance.Liaise with the Royal Malaysian Customs Department and other government agencies to handle tariff classifications, import/export duties, and customs rulings.Stay updated on changes in customs regulations, tariffs, and duties to mitigate risks and ensure full compliance.Ensure compliance with USA customs regulations, including CTPAT (Customs-Trade Partnership Against Terrorism) standards.Participate in and prepare for CTPAT audits to ensure the company meets security protocols and customs standards.Handle Power of Attorney (POA) documentation and ensure legal compliance with USA customs requirements for shipping activities.Oversee the application of customs bonds for shipments to the USA, ensuring all documentation and financial guarantees are in place for smooth customs clearance.MIDA (Malaysian Investment Development Authority) Involvement: Ensure compliance with all MIDA-related regulations for any eligible incentives or duty exemptions.Handle documentation for MIDA applications, approvals, and submissions for any exemptions related to capital goods, machinery, or raw materials.Liaise with MIDA for updates on policies, guidelines, or opportunities to benefit from government investment incentives.Cost Management: Manage shipping budgets, monitor freight costs, identify cost-saving opportunities and ensure freight billing without any discrepancies.Negotiate cartage contracts and rates with freight forwarders, carriers, and third-party logistics providers to achieve competitive pricing.Letter of Credit (LC) Procedures: Handle the documentation and coordination of Letters of Credit (LC), ensuring that shipping and financial transactions meet LC requirements (If Any).Liaise with banks, customers, and suppliers to ensure smooth LC transactions, from the submission of documents to the receipt of payment.Provide training and guidance to the shipping team on LC requirements and procedures.Other Government Agencies (OGA) Permit Applications: Apply for and manage permits and licenses with relevant OGAS, including MITI (Ministry of International Trade and Industry), MATRADE (Malaysia External Trade Development Corporation) and other bodies (If Any).Ensure compliance with import/export restrictions and regulations set by OGAS for specialized goods (l.e., Sirim, Energy Commission, MOH)Handle documentation and submissions for OGA approvals in a timely and accurate manner.Inventory and Warehouse Coordination: Work closely with warehouse teams to ensure stock levels are accurately reflected and shipments are dispatched promptly.Assist in managing inventory flow, preventing overstock or stock shortages.Generate and analyze shipping reports, tracking performance metrics such as delivery times, costs, and service levels.Maintain detailed records of all shipments, including cost analysis, customs reports, and supplier performance reports.Customer Satisfaction (CSAT): Address and resolve any shipping-related queries or concerns from customers.Ensure that customer delivery requirements are met in a timely and efficient manner.Continuous Improvement: Identify opportunities to improve shipping processes and operational efficiencies.Participate in cross-functional projects aimed at optimizing the overall supply chain process.
Qualifications & Experiences: Bachelor's Degree in Logistics, Supply Chain Management, or a related field.At least 8 years of experience in international shipping/logistics, preferably in the manufacturing or automotive industry.Strong knowledge of international shipping regulations and its INCOTERM, customs clearance procedure, MIDA incentives, customs rulings.Experience on USA customs regulations (CTPAT, POA, Bonds).Experience in handling shipment under Letters of Credit (LC).Strong understanding on INCOTERM and having good negotiation skills with shipping line and freight forwarders.Proven ability to manage teams and lead shipping operations efficiently.Skills: Excellent organizational and problem-solving skills.Strong leadership and communication abilities.Proficiency in logistics software and systems.Ability to work under pressure and handle multiple tasks simultaneously. Strong negotiation skills and attention to detail,Proficient in English and Bahasa Malaysia, both written and spoken.
