Job Description: The Executive Assistant is execute special assignments, ad hoc tasks, and related functions as instructed by management. This involves handling unique projects, responding to immediate needs, and assisting in various tasks outside of regular responsibilities as directed by superiors.
Job Responsibilities: Meeting Management: Efficiently organize meeting agendas, draft meeting minutes, outgoing correspondence, board papers, and presentation materials. Ensure timely follow-up actions are communicated to the Chairman.Departmental Support: Assist the Chairman in executing departmental work plans. Coordinate and communicate with various departments and all staff levels regarding Chairman-directed tasks.Project Monitoring: Monitor project progress and influence managers and department heads to ensure tasks are completed accurately and on time. Remind the Chairman of project deadlines to drive company progress.Event Planning: Plan and organize events, meetings, and conferences related to projects and core tasks.Proactive Issue Handling: Anticipate challenges and proactively address issues to support the Chairman in decision-making. Collaborate with executives and other teams to resolve issues and ensure smooth operations.Market Research: Conduct research on industry trends, market conditions, and competitive landscapes to keep the Chairman informed.Strategic Planning Support: Assist in aligning strategic planning activities, including the development and implementation of strategic initiatives.Quality Assurance: Regularly review the quality of work prepared with the project team to ensure it meets project standards.Confidentiality Maintenance: Maintain a high level of confidentiality regarding strategic discussions and decisions.Perform special tasks, ad hoc functions, and related duties as directed by management. Job Requirements: Bachelor's degree in Business Administration, Law, Architecture, Engineering, Education, Property Development or a closely related field.A minimum of 7 years of experience serving in an executive assistant role, ideally a background of studying abroad, preferably in China / Taiwan.High proficiency in both English and Chinese to effectively communicate with an internationally diverse clientele and partner network.Strong project management skills with the ability to positively influence others to ensure timely project completion.Exceptionally organized with proven ability to manage multiple priorities in a fast-paced environment.Good working knowledge of MS Excel, Word, PDF, and PowerPoint.
