Job Purpose Provide assistance to the Manager, Retail Operations in managing warehouse operations, merchandise cataloging, and 3rd party concessionaires. The objective is to generate revenue and achieve sales targets by ensuring efficient storeroom management, maintaining inventory levels, and monitoring 3rd party concessionaire performance.
Key Accountabilities 1) Warehouse Management Manage and oversee the daily operations of storeroom/warehouse diligently & effectively to ensure and to maximize revenue. Maintain effective communication amongst warehouse & sales staff for inventory needs and replenishment requests
Quality control (Monitor team to conduct quality checks on all received merchandise to ensure it matches specifications and standards with specific time given follow by SOP)Receiving & returns procedure (Monitor storekeeper to ensure stocks received tally with the Delivery Order (DO) and to prepare report discrepancies or issues promptly)Transfers procedure Deliveries (of back charged items) procedure Damaged merchandise procedure Stock take procedure for Outright & Consignment Investigate and address any missing stocks, ensuring proper reporting and corrective actions are taken.
Conduct planning a regular stock takes and cycle counts to ensure accurate inventory records, identifying any discrepancies and reconciling them promptly.
2) 3rd Party Concessionaire Monitor the operations of 3rd Party Concessionaires and act as liaison between Petrosains & Concessionaire staff to ensure they adhere to SOPs & HSE requirements and maintain image & good name of Petrosains. Reporting – gather sales data, reporting to shared services, invoicing.
3) External Warehouse Procurement & contract of the external warehouse. Monitor movements & inventory levels.
4) Data Entry Ensure the accuracy and timeliness of all data entry related to stock movements, inventory, and sales.5) Merchandise Catalogue Prepare and maintain the merchandise catalogue for B2B, ensuring product images and details are updated regularly.

Custodian of POS systemLiaison with vendorMake sure system is in perfect working order 7) Manpower Requirement Plan daily manpower allocation including leave management, scheduling, task assignments, at all warehouses efficiently and effectively to ensure smooth warehouse operations. Monitor performance & discipline for staff storekeeper and manage staff for Quality check for Outright merchandise.
8) Budget Planning Implement the spending of annual OPEX & CAPEX budget by planning for purchases timely, efficiently and withing the allocated budget. Monitor budget utilization on monthly basis and update data for planning & reference.
9) Reporting & Communication Prepare and submit stock reports, including inventory status, stock movement, and aging reports as and when required. Ensure all inventory and consignment data is updated in the system for reporting and audit purposes. Communicate with the retail operations and merchandising team about stock levels, replenishment needs, and stock discrepancies.
10) Inventory Management Monitor & review inventory in all warehouses on monthly basis for all merchandise including Outright & Consignment and provide input to sales & Retail Strategy teams for all outlets to be stocked with the right assortment and level of inventory.
11) Asset Management Manage storeroom assets, including visual merchandising props like acrylics, hangers, fixtures, etc.
12) Team Coordination & Training Train and guide storeroom staff on proper stock handling, organization, and safety procedures. Coordinate with storekeepers and retail staff to ensure efficient handling and delivery of merchandise. Foster collaboration between the back-of-house team and front-of-house retail staff.
13) Visual Display Management Manage visual displays within the shop, ensuring that all merchandise is presented in an appealing and organized manner. Ensure outright stock is displayed in the proper display areas and is aligned with the brand image of Petrosains. Collaborate with the Manager, retail and retail staff to maintain consistency in store layout and brand presentation.

Qualification & Experience Bachelor Degree in any disciplineMinimum 6 years experience in supervisory position preferable in retails industry
