General Accountability: The HR Admin Executive SE Asia is responsible for managing a variety of HR administrative tasks and supporting the Regional HR Manager in ensuring the smooth operation of HR functions across the Southeast Asia region. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously, including recruitment, onboarding, employee engagement, and administrative duties.Responsibilities:Recruitment and Onboarding-Recruitment Process Management: -Post job vacancies on various platforms as per job descriptions.-Source candidates, primarily through LinkedIn, and manage the initial screening process.-Forward suitable candidates to hiring managers for further evaluation.-Arrange interviews and assist in the interview process.-Coordinate hiring approvals and decisions with hiring managers.-Prepare and issue letters of appointment/offer.-Onboarding: -Manage the onboarding process for new hires, ensuring all documentation and procedures are completed.-Register new staff into the system, including background checks for warehouse and contract staff.-Ensure all new employees are provided with necessary equipment such as laptops and manage their status.-Offboarding: -Manage the offboarding process, including exit interviews and necessary documentation.-Update employee records and ensure all offboarding tasks are completed.HR Administration-Employee Database and Record Management: -Regularly update the employee database and ensure records are accurate and up to date.-Manage both online and physical storage of employee files.-Update contact matrix as needed.-Attendance and Leave Management: -Extract and manage attendance and overtime data for staff and contract workers.-Handle leave management, including annual, medical, emergency leave, and work-from-home arrangements.-Monitor and manage leave requests and approvals.-Employee Engagement and Activities: -Organize and coordinate employee engagement activities such as team building sessions, celebrations, and events.-Manage the communication of Covid updates on SharePoint.-Employee Recognition: -Track and manage employee anniversaries, birthdays, and weddings.-Ensure that recognition and communication are handled appropriately.Insurance and Contracts-Insurance Management: -Handle the addition and deletion of employees from the insurance plan.-Manage insurance renewals and ensure all relevant documentation is maintained.-Contract Staff Management: -Oversee the registration of contract staff into the system.-Conduct background searches for warehouse staff and contract workers.-Ensure contract staff records are accurate and up to date.General Administration-IT and Asset Management: -Maintain an updated asset list, including laptops, mice, headsets, and docks.-Issue IT-related letters as needed.-Administrative Support: -Manage hotel bookings and other travel arrangements as required.-Provide weekly updates to the GM and hiring managers on recruitment progress, sourcing, job posts, interviews, etc.-Update the company webpage with current job openings and coordinate with Lisa Werner as necessary.-Document Preparation and Communication: -Prepare confirmation letters and other necessary HR documentation.- Manage internal communications, including emails to staff with appropriate CC to line managers and GM  [Apply now at https://my.hiredly.com/jobs/jobs-malaysia-rohlig-malaysia-job-hr-admin-executive-se-asia]
  -Education:Bachelor's degree in Human Resources, Business Administration, or related field.-Experience:Proven experience in HR administration, particularly in recruitment and employee engagement.-Skills: -Excellent organizational and multitasking abilities.-Strong communication and interpersonal skills.-Proficiency in using HR software, recruitment platforms, and Microsoft Office.-Knowledge of labor laws and regulations in the Southeast Asia region.-Ability to work independently and as part of a team.-Language: Fluency in English is required.
