Project Executive (Crewing/Marine)

As a Project Executive (Crewing), you will provide administrative support to the Project Management team.
What You'll Do
Oversees and manages project documentation and coordinates documentation related with crewing candidate.
Prepares standard project status reports for project delivery team or work group, client and management. Reports typically include: status update, budget, schedule and risk.
Coordinates and schedules meeting and communication plan(s) regarding projects among team and/or client.
Prepare project information data (i.e. project status updates, schedule updates) and project documentation into project management.
Processes documentation for project commitments (i.e. Agreements, Contracts, Work Authorizations with crewing and/or client).
Support project managers in coordinating and managing project activities.
Break down work into actionable and measurable tasks with the help of project managers.
Schedule and assign tasks to internal teams and closely monitor their progress to ensure timely completion.
Proactively escalate and update project managers when deviations arise during projects.
Assist project managers in analyzing and assessing risks and opportunities.
Arrange, attend, and actively participate in stakeholder meetings.
Coordinate with clients to plan upcoming tasks, clarify requirements, and align expectations.
Serve as the main point of contact and effectively communicate project status to all participants, ensuring timely and adequate responses.
Maintain project-related paperwork by ensuring all necessary materials are up-to-date, properly filed, and stored appropriately.
Making travel arrangements (e.g. training for project crews as per client's requirement, Accommodations for management & project teams if necessary).
Updating/monitoring personal master data for Project team (e.g. Medical, Permit to Work expiring date and certificated which is related to project requirement).
Business travel maybe required. (e.g. Miri / Johor / Kemaman and etc.)
Other duties may be assigned.
What we're looking for
Candidates with less experience will be considered as Project Executive.
Candidate must possess at least Bachelor's Degree in Business Studies/Administration/Management, Psychology, Computer Science, Information Systems, Project Management, or related.
Minimum 1 - 2 years working experience in relevant field.
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding.
Strong analytical and problem-solving abilities.
Excellent interpersonal skills and ability to work well with others.
Clear and effective communication skills, both verbal and written.
Demonstrates attention to detail and accuracy in work.
Ability to work effectively under pressure and meet deadlines.
Proactive and independent with the ability to take initiative.
Strong organizational and multitasking abilities with excellent attention to detail.
Proficient in MS Office suite.
Able to adapt to new environment including learning a new process and system.
Candidate must be able to work at Kapar, Selangor and willing to travel to Miri, Sarawak.
