Receptionist Cum Administrative Executive

Key Responsibilities: 1. Employee Engagement: Manage and coordinate group employee insurance updates and renewals.Organize and distribute festive gifts (Hari Raya, Chinese New Year, Mid-Autumn Festival) to employees.Arrange and deliver monthly employee birthday gifts.2. Attendance Management: Send monthly attendance records to Heads of Departments (HODs) for their team members.3. Filing and Documentation: Maintain and organize departmental contract filing and documentation.4. Office Facilities and Maintenance: Oversee and manage office facilities, including employee workstations, business cards, office cleanliness, pantry supplies, and stationery.Set up new PCs for employees and ensure workstations are ready.Renew office tenancy agreements and manage trading licenses for the office and branches.Coordinate regular office maintenance, including repairs, servicing, and inspections of office equipment, furniture, and infrastructure (air conditioning, lighting, plumbing, etc.).Liaise with external vendors for facility-related services such as cleaning, repairs, and general upkeep.Ensure that all office areas are well-maintained and compliant with health and safety regulations.5. Fixed Asset Management: Conduct periodic stocktakes for company assets.Source suppliers, perform price comparisons, and conduct tenders for procurement needs.6. Reception and Customer Service: Welcome and register visitors, provide relevant information and directions to the showroom, and handle inquiries and complaints.Take telephone messages and relay them to the appropriate staff promptly.7. Miscellaneous Responsibilities: Update the company's directory listings.Complete ad-hoc tasks as assigned by superiors.Provide simple IT support, including setting up new employee PCs, basic troubleshooting, and liaising with HQ IT for PC and email account issues.Qualifications: Proven experience in administrative roles.Strong organizational and multitasking skills.Ability to handle sensitive and confidential information.Ability to speak and write in Mandarin will be an added advantage, as this position requires liaising with HQ personnel.Proficient in Microsoft Office Suite and basic IT troubleshooting is preferred. Experience in office maintenance coordination and vendor management.Excellent communication skills.
