Responsibilities & Duties Supervise maintenance staff and ensure they discharge duties diligently,Ensure all service contracts such as cleaning, security, pest control etc. are provided as per the stipulated scope of work,Attend and evaluate all complaints from owners/residents and/or investigate complaint and report,Follow up daily with maintenance staff and their feedback on complaint after investigation,Reply all letters from residents and prepare notices to circulate to residents,Obtain quotation from approved contractors as provided under standard operating procedure, Regularly check that all works are being carried out promptly and diligently by service contractors,Keep records of all maintenance contracts and ensure that all the equipment such as fire- fighting etc. are tested and maintained as per operation manual,Carry out inspection of the building as least once a week,Submit monthly report on the condition of the structure, facilities and service provided in the building,Follow up on the application status of strata titles and the formation of the Management Corporation,Set the management office related expenses borne by the vendor,Assist and advise on share unit calculation and maintenance fees,Set up sinking fund and service charge account upon formation of Joint Management Body (JMB) or Management Corporation (MC).Manage and maintain the common property of the building together with its machinery and facilities on and within its boundaries,Employ adequate staff and supervise them to carry out proper administrative, technical as well as management work,Collect service charges, water charges, sinking fund, insurance, quit rent, assessment and interests incurred from parcel owners/proprietors,Engage necessary competent service providers at rates to maintain relevant equipment complying with the relevant authorities,To engage and manage service providers to maintain the common property and equipment to ensure that they are always in good functional condition,Undertake regular inspection works on all building, lifts and all other service machineries and act accordingly in a professional manner,Prepare and update trust accounts and to submit financial statements to the relevant authority as well as the JMB/MC.Ensure all payable bills and invoices are paid on time without incurring interest or penalty,Keep good and update records of parcel owner/proprietor and tenants,Compile and submit monthly maintenance reports,Compile monthly report on residents' complaints/comments/suggestions,Convene and attend the council meeting and annual general meeting,Reserve sinking fund allocation and advice on the amount,Prepare and submit yearly budget to the JMB/MC,Calling of tenders and advising on award,Ensure appointed security services, landscaping/garden servicing and cleaning services contractors execute their duties effectively and promptly,Make visits in the event of emergency,Apply for all necessary government licenses, certificates or approvals including statutory inspection certificates in the respects of lifts, firefighting equipment, pumps etc.,Ensure that documents, operation manuals, records, and architectural, structural, and M&E drawings are properly kept and maintained,Ensure non-disclosure and distribution of confidential or sensitive documents to outside parties,Arrange for the selection and recruitment of supporting staff as required,The building executive is not authorized to purchase any capital equipment or arrange to carry out new improvement works to the said Property regardless of the cost without the JMB/MC's approval,Take such necessary steps to abate any nuisance caused by any person on the said property. Requirements Candidate must possess at least Bachelor's Degree in Administration / Business Administration or any related field.Proficient in both written and spoken English & Bahasa Malaysia.At least 3 year(s) of working experience in related fields.Possess good personality and PR skills.Experience in property/facility management is an advantageAble to operate in MS Office (especially word and excel).Good leadership, interpersonal and communication skills.
