Three Positions - Accounts Executive ( Accounts Payable & Accounts Executive) & Payroll Executive Job Title: Accounts Payable Executive Job Summary: The Accounts Payable Executive is responsible for managing the organization's accounts payable function, including processing invoices, reconciling accounts, ensuring timely payments to vendors, and maintaining accurate records. 
Key Responsibilities: Invoice Processing:
Review and verify invoices for accuracy and compliance with company policies.Ensure that invoices are properly authorized and coded to the correct general ledger accounts.Enter invoices into the accounting system and prepare payment schedules.Vendor Payments:
Process payments to vendors through various methods (e.g., electronic funds transfer, checks).Ensure timely payment of invoices while maintaining good relationships with vendors.Track and resolve discrepancies related to vendor accounts, including communication with vendors for clarification on billing issues.Reconciliations:
Reconcile vendor statements to the company's records and investigate any discrepancies.Assist in the monthly, quarterly, and annual closing processes by preparing reports and reconciliations.Monitor and reconcile accounts payable-related general ledger accounts.Expense Management:
Process employee expense reports, ensuring compliance with company policies and correct coding.Verify receipts and ensure proper documentation for all expenses claimed.Compliance & Documentation:
Maintain accurate and up-to-date accounts payable records and documentation.Assist in preparing necessary reports for internal audits, financial audits, and regulatory compliance.Reporting:
Prepare accounts payable reports and assist in producing other financial reports as needed.Provide regular updates on accounts payable status, including outstanding invoices and cash flow forecasts for upcoming payments.Process Improvement:
Identify and recommend process improvements for efficient accounts payable operations.Participate in implementing changes to streamline workflow and increase efficiency.Collaborate with other departments (e.g., procurement, logistics) to ensure proper handling of purchase orders and invoices..Qualifications & Skills:
Education: Diploma or Bachelor's degree in accounting, finance, business administration, or a related field.Experience: 2+ years of experience in accounts payable or related roles.Technical Skills:Proficient in accounting software and Microsoft Office (particularly Excel).Strong understanding of accounts payable principles, accounting practices, and tax regulations.Personal Skills:High attention to detail and accuracy.Strong organizational and time-management skills.Effective communication skills to interact with internal teams and external vendors.Ability to work under pressure and meet deadlines. Job Title: Accounts Executive (Full Set of Accounts) Job Summary: The Accounts Executive is responsible for managing the full set of accounts for the company. The role requires ensuring the accuracy of financial data, preparing financial reports, and maintaining compliance with accounting standards and regulatory requirements. The position is critical for providing financial insights to the management for decision-making.
Key Responsibilities: Full Set of Accounts:
Manage the full spectrum of accounting functions.Handle all month-end and year-end closing activities, ensuring the accuracy of the financial data.Maintain the chart of accounts, ensuring all transactions are appropriately classified.Financial Reporting:
Prepare monthly, quarterly, and annual financial statements, including balance sheet, profit & loss statement.Analyze financial performance and report variances to management with recommendations for corrective actions.Assist in preparing consolidated financial statements.Bank Reconciliation & Cash Flow Management:
Perform monthly bank reconciliations to ensure accurate reflection of cash balances.Taxation & Compliance:
Prepare and submit tax filings (e.g., corporate income tax, VAT/GST, withholding tax) and ensure compliance with local tax regulations.Liaise with tax authorities and external auditors for tax assessments and audits.Stay updated on accounting standards, financial regulations, and tax laws.Audit & Internal Controls:
Support the annual financial audit by providing necessary reports and documentation to external auditors.Ensure proper documentation of all financial transactions and maintain a complete audit trail.Implement and maintain internal controls to safeguard company assets and ensure the accuracy of financial reporting.Fixed Assets & Inventory:
Manage fixed asset accounting, including depreciation schedules and asset disposal.Ensure proper accounting for inventory and stock reconciliation, if applicable.Process Improvement & Automation:
Identify areas for process improvements and recommend automation  to enhance efficiency.Assist in the implementation and testing of accounting systems and software.Other Finance-Related Tasks:
Assist in budgeting, forecasting, and cost analysis for various projects.Handle ad-hoc finance projects or tasks assigned by the management.Qualifications & Skills:
Education: Bachelor's degree in accounting, finance, or  ACCA,  related field.Experience: 3+ years of experience handling a full set of accounts and console.Technical Skills:Strong knowledge of accounting standards (e.g., IFRS, GAAP) and regulatory requirements.Proficiency in accounting software (e.g., SQL, MYOB) and Microsoft Excel.Experience with preparing financial statements, tax filings, and general ledger reconciliations.Experience in managing accounts for multiple entities or working in a multinational organization.Knowledge of ERP systems and automation of accounting processes.Personal Skills:High attention to detail and accuracy.Strong problem-solving and analytical skills.Excellent time management and organizational abilities.Strong communication skills for interacting with internal teams and external auditors. The Payroll Executive is responsible for managing the organization's payroll processes, ensuring that employees are paid accurately and on time, and that the payroll process complies with all applicable laws and regulations. This role also involves maintaining payroll records, ensuring deductions, taxes, and benefits are processed accurately, and resolving any payroll discrepancies.
Key Responsibilities:
Payroll Processing:
Process payroll for all employees in a timely and accurate manner.Ensure compliance with laws.Input and review payroll data for accuracy.Payroll Systems Management:
Manage and maintain payroll software, ensuring it is up to date and running efficiently.Troubleshoot and resolve any payroll system issues.Statutory Compliance:
Ensure compliance with all.Prepare and submit payroll-related reports to tax authorities and government agencies.Stay up to date on changes in tax laws, labor laws, and other payroll regulations.Employee Support:
Respond to payroll-related inquiries from employees and resolve any discrepancies or issues.Reporting & Documentation:
Maintain accurate and organized payroll records.Prepare and distribute regular payroll reports to management.Assist with year-end reporting.Auditing & Reconciliation:
Perform regular audits of payroll records to ensure accuracy and compliance.Reconcile payroll prior to transmission and validate reports for accuracy.Assist in financial audits related to payroll processes.Benefits & Deductions Management:
Ensure the accurate processing of employee benefits, deductions, and contributions .Key Skills & Qualifications:
Educational Requirements:
Diploma and Bachelor's degree in accounting, finance, business administration, or a related field.Experience:
2-4 years of experience in payroll administration or similar roles.Experience with payroll software and accounting systems.Technical Skills:
Proficiency in payroll software and Microsoft Office (especially Excel for data analysis).Strong understanding of payroll and tax regulations.Soft Skills:
