Admin Assistant / Executive

We are looking for a dynamic and resourceful Admin & Office Support to join our team! If you excel in administrative tasks, payroll management, and have a strong understanding of the Malaysian Employment Act, this role is perfect for you. You'll also have opportunities to represent our company at trade shows and exhibitions, ensuring smooth operations and professional engagement.
JOB RESPONSIBILITIES:
Assist the sales team with administrative tasks, including billing, and managing accounts receivable and payable.
Assist in the setup and coordination of booths, ensuring a professional company presence.
Engage with visitors at trade shows, exhibitions, and events, share product information, and gather leads for the sales team.
Take ownership of tracking Work-in-Progress status, following up, and updating the status to the Manager.
Oversee daily office operations, procurement of office supplies, and coordination of facility maintenance.
Manage the upkeep and functionality of office facilities, liaising with vendors and service providers as necessary.
Perform administrative tasks such as document preparation, filing, correspondence, and maintaining records.
Collaborate and communicate effectively, including with Mandarin-speaking stakeholders and customers.
Process payroll accurately and ensure compliance with EPF, SOCSO, EIS, and other statutory requirements.
Maintain accurate leave records and assist employees with leave-related queries.
Provide support in organizing sales meetings and presentations.
Other ad-hoc administrative duties assigned.
JOB QUALIFICATIONS:
Diploma/Degree holder with 1-2 years relevant experience.
Minimum 2 years of experience in an administrative role.
Proficiency in English and Malay (spoken and written).
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Familiarity with the Malaysian Employment Act and local labor statutory requirements (EPF, SOCSO, EIS).
Strong organizational, multitasking, and communication skills.
Experience in sales support and event coordination is a plus.
Adaptability to diverse work styles and perspectives and ability to respond urgently to changing situations.
Ability to build effective cross-group relationships at all organizational levels.
Ability to communicate with Mandarin-speaking stakeholders.
Ability to start work on short notice is preferred.
