Job Responsibilities:
Administrative Support:Provide day-to-day administrative support to ensure smooth operations within the academy.
Assist in organizing and coordinating events, workshops, and seminars.
Issue payment vouchers and receipts as needed for academy transactions.
Support the Dean and faculty with scheduling, communications, and preparation of documents or materials for classes and meetings.
Student Services:Handle student inquiries and provide information on courses, schedules, and other relevant details.
Maintain accurate student records, assist in the enrollment process, and support graduation activities.
Communication and Coordination:Act as a liaison between students, faculty, and management, ensuring effective communication channels.
Assist in drafting and distributing internal communications, notices, and announcements.
Coordinate student orientations, campus tours, and Open Day events to enhance the student experience.
Office Management:Manage office supplies, equipment, and facilities to ensure a conducive working environment.
Assist in the implementation of administrative policies and procedures.
Maintain cleanliness and organization of the front desk and common areas.
Arrange for equipment maintenance and facilities repairs as needed.
Data Entry and Record Keeping:Maintain and update databases, records, and filing systems accurately.
Track attendance, student progress, and other records as required.
Prepare reports on enrollment, attendance, and events for management review.
Finance Support:Assist with issuing payment vouchers and receipts for academy transactions.
Maintain records of payments, invoices, and financial documents.
Support the finance team with budget tracking and expenses related to academy events and supplies.
Marketing and Outreach Support:Assist with student recruitment activities, such as managing inquiry forms during school fairs and Open Days.
Support marketing efforts by organizing promotional materials, updating bulletin boards, and preparing materials for student engagement.
Help coordinate with the marketing team on social media posts, newsletters, and academy updates.
Handle incoming calls, emails, and other correspondence with professionalism.
Undertake special projects and assignments as directed by management.
Participate in team meetings, provide input on process improvements, and contribute to a positive work environment.
Requirements:
Education:Completed SPM/IGCSE/O-level/STPM/Diploma.
Experience:Fresh graduates are encouraged to apply; experience in a similar role is a plus.
Technical Skills:Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
Basic knowledge of graphic and multimedia design software is advantageous.
