We are seeking a people-oriented Admin Executive with excellent organizational skills and experience in office administration, including data entry into accounting software. The ideal candidate will oversee daily administrative operations, support various departments, and ensure the efficiency of office processes.
Key Responsibilities:
Office Administration:
-Manage office supplies inventory and coordinate procurement as needed.
-Oversee office maintenance and ensure a clean, organized workspace.
-Maintain accurate and systematic filing systems (both physical and digital).
-Manage and arrange facilities for guests/clients visiting the office.
-Welcome guests/clients upon arrival, direct them to the waiting area or meeting room, and ensure they are comfortable.
-Provide refreshments for guests/clients during their visit.
-Provide administrative support to directors.
Financial Coordination (AutoCount Accounting Software):
-Input and manage data using AutoCount accounting software for administrative and financial tasks.
-Assist in generating invoices, purchase orders, and payment records.
-Maintain accurate financial documentation and reporting.
Coordination and Communication:
-Act as the first point of contact for internal and external communications.
-Schedule and coordinate appointments, meetings, and travel arrangements for staff.
-Liaise with suppliers, vendors, and service providers to ensure smooth operations.
Documentation and Reporting:
-Prepare, review, and distribute reports, memos, and correspondence.
-Compile and organize data for presentations and analysis.
-Track office expenses and assist with budget planning.
Support to Departments:
-Coordinate recruitment processes, including job postings, interview scheduling, and maintaining candidate records.
-Oversee employee onboarding, including preparing welcome kits and setting up workstations.
-Organize and facilitate company events, training sessions, and meetings, including managing logistics and materials.
-Provide general administrative support to various teams to ensure smooth operations.

-Proven experience in an administrative role, preferably with AutoCount accounting software.
-Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
-Strong organizational and multitasking skills.
-Excellent written and verbal communication skills in English and Bahasa Malaysia.
