Admin Support for Business and Operations ManagerSpecific responsibilities and expectations of this roleAdministrative SupportManage the Business and Operations Manager's schedule, including meetings, appointments, and travel arrangements.
Prepare and organise agendas, reports, and presentations for meetings.
Handle correspondence, including emails and phone calls, ensuring timely responses and follow-ups.Project CoordinationAssist in planning and executing projects related to school operations, facilities, and administration.
Monitor project timelines, deliverables, and budgets, providing updates to the manager.
Liaise with internal teams and external vendors to ensure project milestones are met.Communication and LiaisonServe as the first point of contact for enquiries directed to the Business and Operations Manager.
Maintain positive relationships with school staff, parents, and external partners.
Draft and distribute internal communications on behalf of the manager.Data Management and Record-KeepingMaintain confidential records, files, and databases.
Track and report key metrics related to operations and business performance.
Assist with preparing documentation for audits, compliance checks, and board meetings.Operational SupportOversee and manage supplies and equipment for the operations department.
Coordinate events and activities related to operations and business functions.
Assist in monitoring budgets and expense reports for the operations team.General SupportPerform ad-hoc tasks and projects as assigned by the Business and Operations Manager.
Ensure confidentiality and discretion in handling sensitive information.Key Skills and Qualifications
? Proven experience in a similar role, preferably in an educational or international setting.
? Strong organisational and time management skills, with the ability to multitask and prioritise effectively.
? Excellent written and verbal communication skills.
? Proficiency in Google Office Suite (Gmail, Drive, Docs, Sheets, Slides, Forms, Calendar) and familiarity with Microsoft Office Suite.
? High level of discretion and confidentiality.
? Ability to work independently and collaboratively within a diverse team.
? Problem-solving skills and a proactive approach to challenges.
? Languages - English, Malay and Chinese.Preferred Qualifications
? A diploma or degree in Business Administration, Office Management, or a related field.
? Familiarity with school operations and/or administrative processes.
? Experience working in a multicultural environment.
