Responsibilities:
Answer & record customer enquiries. Assign enquiries to sales staff to follow up on pre-sales activities.
Order processing and generate CRA (Customer Return Advise).
Keep track & monitor loan/demo units and follow up back-order items.
Monitor inventory levels closely to keep sufficient stock for sales.
Initiate recommendations for purchase when stock is low and prepare requisition to order and issue purchase orders.
Follow up and coordinate with suppliers to expedite deliveries & delivery status.
AR Collection:
Responsible for monitoring and follow-ups of account receivables.
Ensure that every assigned account is monitored in terms of payment and follow up for payment on a timely basis.
Service Call Coordination:
Handle calls for service requests.
Ensure customers' details are correct as per the corporate system.
Log service calls in the corporate system and dispatch service calls to service representatives, ensuring follow up on further attention service calls.
Close call and CI work orders in the corporate system for completed jobs.
Parts Requisition:
Generate parts requisition for contract customers and prepare quotations for non-contract and warranty customers.
Follow up with customers on quotation confirmation and coordinate warranty claims from suppliers.
Departmental Administration:
Prepare internal and external departmental correspondence and prepare meeting minutes when needed.
Monitor administrative support forms and submit to HOD for approval.
Filing and archiving of department's service documents.
Technical service coordination.
Prepare all kinds of ad-hoc reports when needed.
Job Requirements:
Diploma/Degree holder with a few years of working experience in an administrative role.
Converse well in English and Bahasa Melayu.
IT literate.
Able to work independently with minimal supervision.
