Myphysio Sdn Bhd, a leading provider of healthcare services, is seeking a proactive and organized Administrative Assistant to join our dynamic team in Kuala Lumpur. The successful candidate will play a pivotal role in ensuring the efficient operation of our administrative functions and will support both clinical and operational staff to deliver exceptional care to our clients. 

  Key Responsibilities:
- Administrative Support:
- Provide comprehensive administrative support to the healthcare team, including managing calendars, scheduling appointments, and coordinating meetings.
- Assist in the preparation and maintenance of medical records and patient files in accordance with regulatory requirements and company policies.
- Manage incoming and outgoing communications, including telephone calls, emails, and postal mail, ensuring timely and effective communication at all times.
- Patient Interaction:
- Greet and assist patients upon arrival, ensuring a welcoming and professional atmosphere.
- Handle patient inquiries and concerns, providing information about services and facilitating patient navigation through the healthcare system.
- Coordinate patient appointments, follow-ups, and reminders, optimizing the scheduling process to minimize wait times.
- Office Management:
- Maintain office supplies and equipment, ensuring that all necessary materials are available for staff use.
- Assist in the implementation and management of administrative procedures and policies that enhance operational efficiency.
- Monitor and maintain cleanliness and organization of the office environment.
- Records Management:
- Document and enter data related to patient interactions and administrative processes accurately into electronic health records and databases.
- Support billing and insurance processes, working closely with the finance team to ensure accurate invoicing and payment tracking.
- Team Collaboration:
- Collaborate with healthcare providers and administrative staff to improve service delivery and operational efficiency.
- Participate in training sessions and professional development opportunities to enhance skills and knowledge relevant to the healthcare field.
- Compliance and Confidentiality:
- Ensure compliance with healthcare regulations and confidentiality requirements, maintaining patient confidentiality in all interactions and documentation.
- Stay updated with current developments in the healthcare sector and incorporate best practices into daily work. Qualifications:
- Education:
- A diploma or degree in Business Administration, Healthcare Administration, or a related field is preferred.
- Skills:
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Strong communication skills, both verbal and written, to interact professionally with patients and team members.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with healthcare management software is preferred.
