We are seeking an efficient, orderly, and responsible Administrative Manager to oversee our administrative operations and office environment. The ideal candidate will have extensive experience in office management, administrative support, office upkeep, and company asset procurement. This role demands high efficiency, the ability to handle multiple tasks simultaneously, and the skill to support and improve office procedures, daily operations, and physical workspace. Proficiency in English and Malay is crucial for effective communication with our diverse team and external partners.
Responsibilities- Manage and oversee the daily operations of the administrative department, ensuring smooth and efficient workflow.
- Develop, implement, and review operational policies and procedures to improve efficiency, service delivery, and office environment.
- Supervise administrative staff, providing guidance, training, and performance evaluations to ensure an efficient and motivated team.
- Coordinate office space management, including layout planning, maintenance, and ensuring a clean and safe working environment for all employees.
- Oversee the procurement of company assets and office supplies, including negotiating with suppliers, managing inventory, and ensuring that all purchases adhere to budget and quality standards.
- Manage travel arrangements and accommodations for staff and visitors, including itinerary planning and logistics.
- Organize schedules, appointments, and meetings for senior management, ensuring optimal use of time and resources.
- Facilitate internal communication by disseminating important updates and information across departments.
- Handle confidential documents and information with discretion and integrity.
- Assist with budget preparation and financial record keeping for the administrative department and asset procurement activities.
- Act as the point of contact for external vendors and service providers, negotiating contracts and managing relationships.
- Implement and monitor health and safety policies and procedures to ensure a safe working environment.
- Participate in special projects and perform additional duties as required by the HR Director.
- Proven experience in administrative management, office upkeep, and asset procurement, with a deep understanding of office management procedures.
- Fluent in English; proficiency in Malay is a significant advantage.
- Strong leadership and team management skills, capable of motivating and guiding staff.
- Highly organized and detail-oriented, with the ability to multitask and prioritize effectively.
- Proficient in Microsoft Office Suite and familiar with office management software.
- Exceptional communication and interpersonal skills, capable of effectively managing internal and external relationships.
- Excellent problem-solving abilities and decision-making skills.
- A minimum of 5 years of experience in an administrative role, with at least 2 years in a management position.
- Bachelor's degree in Business Administration, Management, or a related field is preferred.
