Job Summary:
The Asset and Facilities Administrator is responsible for managing and maintaining accurate records of organizational assets, ensuring effective coordination of facility-related activities, and supporting the department's operational needs.
Key Responsibilities:
Asset Management:
Maintain and update the inventory database for all organizational assets.
Ensure proper tagging, tracking, and record-keeping of assets.
Conduct regular audits to verify asset conditions and locations.
Assist in the disposal and replacement of outdated or damaged assets following organizational policies.
Facilities Administration:
Coordinate maintenance schedules and repairs for facilities, equipment, and utilities.
Manage service contracts and liaise with vendors for facility-related services.
Monitor and ensure compliance with safety and operational standards.
Address facility-related issues promptly and efficiently.
Documentation and Reporting:
Prepare and maintain records of asset purchases, movements, and disposals.
Generate monthly and ad-hoc reports on asset utilization and facility conditions.
Support the preparation of budget proposals related to asset and facility management.
Support Functions:
Assist in procurement processes for assets and facilities-related items.
Ensure accessibility to facility resources for all staff and departments.
Coordinate with external contractors for facility enhancement projects.
Qualifications and Requirements:
Diploma or degree in Business Administration, or related fields.
Basic knowledge of inventory management systems and facility operations.
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint).
Strong organizational and communication skills.
Ability to multitask and work collaboratively in a team environment.
Preferred Skills:
Experience in asset management or facilities administration.
