DKLS, a leading real estate developer, is looking for an experienced Assistant Manager, Sales Admin to join our team in Ipoh, Perak.
This role involves managing the sales admin process from booking to vacant possession, including progress billing, handling client queries, and collaborating with panel solicitors.
The Assistant Manager will report directly to the Sales and Marketing Manager and act as a relief in their absence.
Willingness to travel to project sites, sales galleries, and show houses is required.
Key Responsibilities:
Sales Process Management: Oversee all sales admin activities from booking to vacant possession, ensuring timely and accurate documentation.
Progress Billing: Manage aging progress billing, track payments, and coordinate with finance on overdue balances.
Team Leadership: Lead and support the sales admin team to ensure smooth operations and timely task completion.
Panel Solicitor Coordination: Work with panel solicitors to ensure legal documents are prepared and processed correctly.
Client Liaison: Serve as the main contact for clients, providing updates on payments, construction progress, and possession details.
Relief Role: Step in for the Sales and Marketing Manager when needed, handling day-to-day admin tasks and supporting the team.
Site & Gallery Visits: Travel to sites, sales galleries, and show houses as needed for coordination, inspections, or client interactions.
Required Skills & Qualifications:
Education: Bachelor's degree in Business Administration, Real Estate, or a related field (or equivalent work experience).
Experience: At least 5 years in real estate sales admin, with a strong understanding of progress billing and the full sales cycle.
Skills: Proficient in HIMS, ESPA, MHUB (or similar systems), and Microsoft Office.
Strong leadership, communication, and organizational skills.
Candidates with experience in these systems and related processes will have an advantage.
Knowledge: Familiar with real estate documentation and panel solicitor coordination.
Other: Ability to work under pressure, manage a team, and handle confidential information.
Preferred Qualifications:
Experience working with panel solicitors or legal teams in real estate transactions.
Background in real estate project management or sales coordination.
Work Schedule:
Full-time, Monday to Saturday (5.5 days per week).
Willingness to work on weekends or public holidays if needed.
Travel: Willingness to travel to project sites, sales galleries, and show houses as required.
