TheExecutive Assistant to the C-Suiteprovides high-level administrative and strategic support to the CEO, CHRO, COO, and CBDO.
This role requires excellent organizational, communication, and problem-solving skills to ensure the smooth functioning of the executive office.
ResponsibilitiesCoordinate and manage schedules, appointments, and meetings for C-Suite executives.
Proactively resolve scheduling conflicts and prioritize tasks.
Plan and organize domestic and international travel, including flights, accommodations, and itineraries.
Ensure cost-effectiveness and adherence to company travel policies.
Draft, review, and manage email communications, letters, and other documentation.
Act as a point of contact for internal and external stakeholders.
Prepare agendas, presentations, and briefing materials for executive meetings.
Take detailed meeting minutes and follow up on action items.
Assist in coordinating projects and initiatives involving multiple departments.
Ensure alignment between the C-Suite and business units on strategic objectives.
Organize and oversee executive-level meetings, retreats, and company events.
Ensure seamless execution and effective participation.
Collect and analyze data or reports required by C-Suite executives.
Ensure accurate and timely delivery of business updates and dashboards.
Act as a bridge between the C-Suite and employees to ensure clear and timely communication.
Handle sensitive information with the utmost confidentiality.
Manage relationships with key stakeholders, partners, and clients on behalf of the C-Suite.
Facilitate collaborations and partnerships through proactive communication.
Streamline processes to enhance efficiency in the executive office.
Monitor deadlines, approvals, and key deliverables for ongoing projects.
Required Skills and QualificationsEducation : Bachelor's degree in Business Administration, Management, or a related field (preferred).
Experience : At least 5+ years of experience in a similar role supporting senior executives.
Technical Proficiency : Skilled in Microsoft Office Suite, project management tools, and communication platforms (e.g., Zoom).
Exceptional organizational and time-management skills.
Strong written and verbal communication abilities.
High emotional intelligence (EQ) and discretion in handling confidential matters.
