Job Responsibilities:
Provide comprehensive administrative support to ensure the audit department meets its objectives efficiently.
Assist in the preparation, organization, and tracking of audit documentation.
Audit Process Management:Support the audit administration process by managing document collation and distribution.
Facilitate the audit confirmation process by preparing and managing bank and third-party confirmations.Documentation:Prepare and format audit-related documents, including appointment letters and audit engagement letters to new and existing clients.
Ensure the accuracy and completeness of documents prior to distribution.Prepare financial statement roll forward or skeleton for new clients.
Financial statement call-over/proofread and casting.
Meeting Coordination:
Manage schedules, arrange meetings, and book meeting room facilities.
Prepare agendas and record minutes as necessary.
Logistical Support:
Arrange travel, accommodation, and other logistical requirements for audit engagements.
Coordinate with external vendors for services needed by the audit department.
Training Administration:
Manage attendance for training sessions.
Record and maintain training documentation.
Initiate and collect training feedback surveys.
Compile and maintain the training control list.
Prepare certificates for participants.
Other Responsibilities:
Assist audit partners with administrative tasks, including scheduling and document management.
Perform general office duties such as filing, data entry, and maintaining records.
Qualifications and Skills:
Diploma in Business Administration, Accounting, or a related field.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
Proficient in English and Chinese (Mandarin).
Strong organizational and multitasking skills.
Attention to detail and a high level of accuracy in work.
Good communication skills and ability to work collaboratively in a team.
