Administrative Assistants (Administration & Office Support)
BD administrators provide essential support for the BD team, and if you draw energy from being part of a team, it might be a good job for you. BD administrators are responsible for the efficient handling of sales orders, and they help to improve the productivity of field sales representatives by dealing with customer queries and fielding calls. This important position contributes to the quality of customer service and the achievement of sales targets.
Duties and responsibilities
Managing the overall administrative functions of pre-sales and post-sales across local and regional portfolio.
Liaising and gathering information with internal stakeholders to gather necessary information and documentation for the purpose of Business development activities.
Process orders generated by business development or commercial representatives.
Contact customers to resolve any queries or obtain any information that is missing. Solve little problems before they become bigger disappointments for customers.
Record details of the order in the process system, including billing and payment collection. Work closely with PD & O and project team to make sure the project is on track and properly recorded.
Check and verify accuracy of contract details and forward the order to the related department such as project delivery & operation team, project team, procurement team, authority team, account and finance team and O & M team, follow up for confirmation of project handover and keeping a good record of the project till full closure following ISO process.
Main administrators for CRM-sales force – to update the records with details of orders and invoices and provide useful data for sales reports and for planning future sales pricing and/or marketing campaigns.
Create weekly/monthly and yearly reports for management and department review.
Maintain updated record keeping, shared library and record of sales and compare them with targets to help Head of Sales and representatives monitor the team's progress.
Provide support for sales representatives when they are away from the office.
Take calls or e-mails from customers and alert representatives to any urgent issues.
Pass any technical queries from sales representatives or customers to the appropriate departments.
Other office general affairs.
Perform all other duties, activities and responsibilities that may be assigned by superior whenever necessary from time to time.
Requirements
Degree/Diploma.
At least 3 years of working experience in related field.
Preferably Senior Executive specialized in Clerical/Administrative Support or equivalent.
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular) and knowledge of system management i.e. CRM and ERP.
Independent, self-motivated, committed, with the ability to interact and a team player.
Strong organizational skills with the ability to multi-task.
Excellent written and verbal communication skills.
Required languages: English, Bahasa Malaysia.
