Responsibilities:Pursue and monitor deadlines compliance by departments on operational matters, from proposal stage through execution and payouts.
Monitor, prioritize and maintain monthly billing payments to ensure timely processing.
Analyze and verify the accuracy of incoming business proposals, memos, invoices, and bills prior to approval by the Head of Company.
Administer business operational matters in accordance with the company's Standard Operating Procedures and Level of Authority, including Principal's requirements regarding corporate image and trading policy.
Prepare and submit operational or market review reports to the Principal's office as needed. Maintain a good relationship with the Principal's office to ensure smooth arrangements for meetings and travel itineraries.
Prepare and edit business correspondence, communications, presentations, minutes of meetings, and other documents.
Oversee general administrative matters, including the identification and appointment of suppliers, contractors, or vendors.
Administer and maintain procurement (OPEX/CAPEX), stationery & printed items requisition and stock, including payment and liaison with vendors.
Manage administration of pantry, office facilities/equipment maintenance, mailing services, etc.
Communicate with other executive assistants across the organization regarding correspondences and appointments.
Control and manage the calendar of the Head of Company and departmental meetings, appointments, and deadlines.
Coordinate and prepare facilities for meetings, and arrange refreshments if required. Make travel arrangements, provide detailed itineraries, and prepare and submit expense reports.
Coordinate and actively participate in a wide range of company events/programs/activities as necessary.
