Client Engagement & Training Support Specialist

This role focuses primarily on administrative support, CRM management, and operations. The Training Support Specialist will play a crucial part in ensuring smooth day-to-day operations, allowing the manager to focus on business development and client engagement.
Key Responsibilities: CRM Management & AdministrationDaily update and record on every correspondences/communication in CRM SystemUpdate and maintain CRM system with accurate records of leads, opportunities, and contactsSend daily reminders to the manager regarding CRM follow-ups.Prepare event call lists, including:Past DelegatesPast EnquiriesEvaluation ReferencesTransfer past event call lists to the current event list for future events. 2. HRDC Grant Support Assist with HRDC grant applications and ensure smooth processing.Address and resolve queries related to HRDC applications.Post Training – Sending HRDC JD14 and T3 for signature 3. Invoicing & Payment Follow-up Prepare and send invoices for training courses.Follow up on outstanding payments with clients.Maintain a register for all invoice and payment  4. Research & Key Account Management Conduct research on new leads, key accounts, and industry-relevant contacts.Perform spider-webbing research to identify potential clients based on assigned industries or job titles.Regularly update event call lists with new leads and contact information.Manage social media postings under the manager's account to maintain engagement with leads and clients.Connect with LinkedIn and book appointment for manager for future communication 5. Operations Support & Documentation For In-House training manage all operational communication, including:Participant Confirmation Queries (PCQ)First and Final EvaluationsDocumentation for printing, shipping, and booking arrangements.Process participant registrations for public and in-house courses.Prepare proposals, brochures, and trainer profiles for public and in-house courses.Ensure smooth handover of in-house sales and public courses to the relevant teams,  Qualifications and Skills:
Strong organizational skills with excellent attention to detail.Experience in CRM management and data entry.Familiarity with invoicing, payment follow-up, and grant application processes.Strong communication skills (written and verbal).Ability to multitask and manage priorities efficiently.Proficient in Microsoft Office tools (Word, Excel, PowerPoint)
