Job DescriptionPosition Responsibilities
Develop and maintain a comprehensive database of technicians, vendors, and contractors.
Manage a resource directory of service providers, ensuring up-to-date contact information and offers.
Assist in updating the Preventive Maintenance handbook as needed.
Cultivate positive relationships with contractors and service providers.
Advocate for timely and cost-effective services, addressing any issues during delivery.
Monitor service statuses for outlets.
Ensure transparency in budget tracking for maintenance works.
Implement risk mitigation strategies to minimize disruptions.
Establish standard pricing guidelines for servicing and parts procurement.
Define quotation formats and submission timelines for maintenance projects.
Maintain accurate records of technicians, vendors, and contractors.
Update the resource directory regularly.
Stay informed about service activities and metrics.
Identify and mitigate potential risks to service delivery.
Ensure standard pricing and quotation processes are followed.
Prepare accurate cost estimates for maintenance and repair projects based on assessment and requirements.
Collaborate with stakeholders to establish budgets for maintenance works, ensuring alignment with organizational goals and financial constraints.
Monitor expenses throughout maintenance projects, ensuring adherence to established budgets and identifying cost-saving opportunities.
Analyze cost implications of different maintenance strategies to optimize spending and resource allocation.
Negotiate contracts with service providers, ensuring favorable terms and cost-effective solutions for maintenance services.
Collaborate with stakeholders to expedite the approval of quotations, escalate delays to management when necessary, and review quotation status and contractor issues daily.
Job RequirementsQualifications & Experience
At least Diploma/ Degree in Business Administration/ Facilities Management/ Quantity Surveying/ Building Technology/ Engineering or its equivalent.
Have at least 1 - 2 years of contract, general construction estimating experience, financial experience, engineering experience, or related field.
Excellent negotiating and interpersonal skills.
Ability to organize, plan, and strategize.
Proficient in Microsoft Office or Microsoft Project; other software knowledge is an advantage.
Can work with minimal supervision.
Must have excellent verbal and written communication skills.
Self-motivated, disciplined, and proactive with the ability to work independently.
