Responsibilities (Obligation to ensure that the action is taken):
Coordinate project management activities, resources, equipment, and information.
Liaise with clients to identify and define requirements, scope, and objectives.
Assign tasks to internal teams and assist with schedule management.
Ensure that client's needs are met as projects evolve.
Assist Head of Department to prepare budgets.
Analyze risks and opportunities.
Oversee project procurement management.
Monitor project progress and handle any issues that arise.
Act as the point of contact and communicate project status to all participants.
Work with the Project Manager to eliminate blockers.
Use tools to monitor working hours, plans, and expenditures.
Create and maintain comprehensive project documentation, plans, and reports.
Assign all Inspectors their daily tasks based on the scope of work provided by the client.
Be the focal person between Branches and Intercompany for daily operations of the INY department.
Support BD and T&P departments on queries by clients and tender submissions.
Support each of the Branches (Kemaman, Pasir Gudang, Lumut, Miri) on their day-to-day operations.
Make arrangements for clients and inspectors for offshore activity.
Keep track of records and document control for all client documentation, inspection deliverables, and Inspector personal documentation.
Be the Key User for all internal software used by the Department, e.g., Siebel, FLEX, and others.
Communicate with internal BV on inspections outside Malaysia.
Assist QHSE Manager as a QHSE Committee member within the INY department to support QHSE-related matters such as PPE, contract of NE, yearly ISO 17020 audit by DSM & Internal Audit, quarterly QHSE meetings, etc.
Provide monthly forecasts of revenue and cost, activity summary & MBR of major project activities within the Department and present the input to Top Management.
Keep records of all inspector technical certificates and other relevant documents as per BV requirements.
Assist Technical Manager on the Inspector competency matrix.
Assist INY Department on day-to-day operations.
Assist other related project work as instructed by Operations Manager.
Prepare billing instructions for invoicing.
Coordinate with senior coordinators on existing and ongoing projects to avoid any conflict coordination.
Requirements:
Willing to work as a coordinator.
Good in writing and speaking in English.
Possess a Bachelor's in engineering.
