JOB OVERVIEW
Provide a proactive and comprehensive service to the customer in all aspects of import, assigned customs clearances, and ocean freight forwarding services provided by the company.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Registration of shipments – entry of shipment information into the forwarding system, CW1, accurately and on time.
• Monitor all incoming shipments from CW1 using carrier websites or terminal portals for vessel arrival details to ensure shipments are executed timely.
• Update all systems—internal and external—with shipment data and other customer-specific information.
• Create ocean freight forwarding documents, e.g., prepare arrival notices, DO releases for carriers/CFS, and Cartage Advice, etc.
• Monitor shipments with various internal and external parties to ensure customs clearance and timely transportation arrangements.
• Ensure that all security arrangements and procedures are met.
• Verify the completeness and accuracy of all forwarding documents.
• Ensure all dangerous goods/hazardous cargo documents are in place and procedures are followed with carrier approval where necessary.
• Work with and monitor permit declaration activities with the permit declaration vendor.
• Coordinate customer booking requests at origin and destination (call forward).
• Maintain close coordination and booking/NOA with carriers and hauliers regarding shipments' arrival, release, and delivery.
• Follow irregularity handling procedures with the destination/origins.
• Escalate any impediments to processing to the direct reporting manager.
• Adhere to customer-specific SOPs.
• Communicate all cargo-related incidents to customer service and external brokerage houses (short shipments, damages, misrouted shipments, missed vessels).
• Adhere to global standard processes/procedures and corporate standard and governance policies.
• Initiate and follow up on cargo and insurance claims with customers, surveyors, and other DSV partner country houses for damaged or missing cargo.
• Engage and initiate discussions with local and regional procurement on rates and space.
• Serve as a backup for other team members when necessary.
• Sort and upload required documents into eDoc in a timely manner.
• Maintain accountability and accuracy for updating and meeting deadlines for monthly reports required by customers.
• Ensure timely invoicing of shipments as per company KPIs.
• Release invoices to customers with supporting documents according to requirements or SOP.
• Ensure payment collection prior to the release of shipments for customers under cash terms.
• Ensure shipment costs are updated correctly in CW1.
• Verify vendor/intercompany invoices and raise disputes for incorrect invoices.
• Handle disputes and queries from customers and DSV overseas offices on billing matters and resolve them in a timely manner.
• Monitor and update respective sales personnel on the validity date of all customers' quotations.
• Participate in company projects and initiatives as required.
QUALIFICATIONS
• Degree / Diploma / SPM
• At least 2 years of relevant experience in the seafreight or freight forwarding industry is preferred.
• Proficient in computer software such as MS Excel, Word, PowerPoint, and Email.
