Job Description:The Administrator is to provide administrative support to help run the office smoothly.Job Responsibilities:Maintaining the station directory
Renewal of office license
Coordinate with station manager / HR & staff to arrange for all relevant station activities
Manage the inventory level for coffee machine, stationeries & office related items
Maintaining office by controlling the house rule
Submit claim report by email and hardcopy to IIB-Khazanah quarterly
Schedule a service maintenance for Fire Extinguisher/utilities/pest control/water filter and so on.
Issue duty cheque DDLS to customs and send daily report to FICO
Manage petty cash claim and reimbursement
Uploading COD invoice into GSConnect and maintain the Masterlist Data
Receive and reconcile monthly COD outstanding report
Create urgent payment for AFR/OFR
Maintain the office from any hazard and risk
Control the office security by managing the keys for each room and door
Schedule monthly branch meeting
Send monthly office printing report / Log ticket on faulty printer
Liaise between IT & staff on any faulty IT equipment & peripherals such as monitors, desktops, laptops and so on.
Assist IT on new/additional/replacement IT equipment to staff (New join / existing)
We are expecting the incumbent to meet these requirements:At least Diploma in any field.
With 2-3 years' experience in office administration.
Excellent time management skills and the ability to prioritize work.
Additional skillsets required: detail-oriented, problem-solving skills, and excellent communication skills (both written and verbal).
Able to work in a fast-paced and challenging environment.
Proficiency in Microsoft Office (Word, Excel & PowerPoint).
