Position Summary
We are seeking a highly motivated, dynamic, and resourceful Executive Assistant to the CEO/Film Industry Executive to join our growing team.
This dual-role position will combine traditional executive assistance with key responsibilities in film project management, film industry research, and client relations, all while supporting the CEO and other company directors with their strategic and operational goals.
This role requires a proactive approach, an eye for detail, a sense of drive and ambition towards the film industry and the ability to work well under pressure.
Key Responsibilities
Provide high-level administrative support to the CEO and board management team.
Manage schedules, coordinate meetings internally & externally, and handle correspondence (emails, phone calls, etc.)
for executives.
Organize travel logistics and accommodations for international business trips, film festivals, and client meetings.
Prepare reports, presentations, and internal communications related to ongoing film projects and business operations.
Maintain efficient filing systems, both physical and digital, ensuring smooth access to key documents.
Assist in the inter-departmental management of a portfolio of film projects, across different stages of development, production and completion, ensuring alignment with the company's goals.
Monitor project timelines and activities of key production milestones across multiple geographies and film markets.
Facilitate communications between Voxel Resonance Films and production partners, both domestically and internationally.
Conduct selective research on emerging trends in the global film industry, particularly within Southeast Asia, Japan, Korea, the Middle East and the independent film markets in the US and Europe.
Monitor and report on industry news, film festivals, and market developments, ensuring that Voxel Resonance Films remains ahead of the curve in identifying new trends and business opportunities.
Act as a point of contact for external clients, talent agencies, distributors, and partners, ensuring smooth communication and fostering strong, long-term relationships.
Possibly attending industry events, film festivals, and conferences, representing the company and building a network of contacts within the global film industry where and when necessary.
Skills:
Exceptional organizational skills and the ability to manage multiple projects simultaneously.
Strong written and verbal communication skills, with the ability to effectively interact with clients, film producers, and senior executives.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and DropBox
Familiarity with project management tools - advantageous to have ClickUp experience
Proactive and able to take initiative, often with minimal supervision.
Familiarity with social media platforms, film industry trade journals (Variety, Hollywood Reporter, The Wrap), film databases, and industry-specific tools (e.g., IMDb Pro, Box Office Mojo, The Numbers) is a plus.
