Job DescriptionProvide general Personal Assistant duties for the Executive Director such as managing daily meeting schedules and appointments, reports, call screening, travel itineraries and arrangements, and any other administrative matters.
Manage a junior team member and driver for the Executive Director, including managing associated schedules and tasks.
Achieve any work objectives and targets set by the Group, including arranging and coordinating appointments for sales meetings or clients and helping in the achievement of the Group's sales targets.
Research and develop any work-related materials, including training modules and proposals.
Assist in the management of projects that the Group has, including preparation of documentation, reports, meeting briefings, and all other work associated with managing projects and clients that are within the purview of the Executive Director.
Obtain and coordinate appointments with senior leaders, government ministers, and/or CEOs of companies for courtesy visits and company presentations.
Accompany the Executive Director for corporate events, important meetings, and follow-ups, both virtually and face-to-face.
Prepare and ensure the availability and accuracy of documents for meetings, including proposals and presentations adhering to submission deadlines.
Liaise between co-workers, external personnel, and the Executive Director.
Liaise and manage overseas staff and partners for meetings where needed for company growth.
Take meeting minutes, distribute agendas, and follow up on action items.
Assist the Executive Director and Senior Executive Assistant with claims, payments, finance-related reports, and organization of financial documents for audits and other finance-related matters.
Assist in managing and creating documentation in M&A and strategy funding documentation.
Research and identify suitable awards, grants, and award opportunities that align with the organization's mission and goals.
Manage special assignments, ad-hoc functions, and related duties for the Executive Director as required.
Maintain strict confidentiality and interact professionally with all levels of points of contact, management, and staff.
Have a good understanding of developing PowerPoint presentations, Word, Excel, and any other related Microsoft Office software for research purposes and to present to clients as needed.
Carry out with excellence any other duties as assigned.
Job RequirementsPossess at least a Bachelor's Degree in Business/Administration or any related field.
Preferably a minimum of 3 years of relevant experience.
Experience working closely with top management will be valuable.
Self-motivated with excellent organizational and execution skills.
Able to prioritize effectively and anticipate the needs of the Executive Director.
Detail-oriented, responsible, proactive, efficient, confident, positive, and result-oriented.
Flexible and able to work independently with a positive working attitude.
Strong team player with excellent interpersonal skills.
Proficient in Microsoft Office – Word, PowerPoint, and especially Excel.
Excellent written and spoken skills in English and Bahasa Malaysia.
