PA, EA & Secretarial (Administration & Office Support)
We are seeking a dynamic and highly organized Executive Assistant to support our senior leadership team. This role combines administrative duties with operations management, ensuring the smooth functioning of both executive schedules and business operations. The ideal candidate is a proactive problem solver, detail oriented, and thrives in a fast-paced environment.
Key Responsibilities
Manage professional and personal scheduling for CEO, including agendas, mail, email, phone calls, client management, and other company logistics.
Coordinate complex scheduling and calendar management, as well as content and flow of information to senior executives.
Oversee the daily operations of the office, ensuring that systems are running efficiently and that all resources are available.
Coordinate cross departmental activities, ensuring that projects are aligned with organizational goals and timelines.
Manage and track special projects, coordinating with relevant teams to ensure timely execution.
Assist in organizing corporate events, conferences, and teambuilding activities.
Handle budget tracking and vendor coordination for special projects or operational needs.
Act as the main point of contact for internal and external stakeholders on behalf of the executive team.
Oversee office supplies, equipment, and maintenance to ensure smooth office operations.
Assist in coordinating the onboarding process for new hires, including office orientation and setup.
Organize and maintain office filing systems, both digital and physical.
Qualifications & Skills
Bachelor's degree in business administration, Operations, or related field (preferred).
Proven experience (2 to 4 years) in an executive assistant or operations support role.
Strong organizational and multitasking skills, with a proven ability to prioritize tasks and meet deadlines.
Excellent communication skills, both written and verbal.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and other office management tools (e.g., G Suite, project management software).
Ability to manage confidential and sensitive information with integrity.
Strong problem-solving abilities and a proactive mindset.
