KEY ACCOUNTABILITIES:
Supervise and drive document control functions as per Project Delivery (PD) Document Management Procedure and SEB IG guidelines for the project portfolio team and maintain effective document management system for PD Generation Projects.
Execute and implement document controls procedures to ensure the capturing, distribution, storing, retention and disposal process of PD project documents are in accordance with Project Document Management Plan (PDMP) and IG requirements.
Set up Enterprise Content Management (ECM) and Engineering Document Management (EDM) system and maintain systematic information access controls.
Roll-out EDM system to contractors for new PD capital projects, providing effective training and support on document controls requirements to contractor's document point of contact.
Collaborate with ICT on the EDM issues, new enhancement requirements and system roll-out plan.
Implement PD access controls procedures for physical project records in restricted Record Rooms.
Upskill Document Controllers and build up the competency level of the Document Controllers.
Initiate project record retention process upon project completion and final As-builts are received.
Facilitate record disposal process for obsolete project records.
Plan and conduct regular document management audits; provide advice or correct any deficiencies and ensure all the recommended corrective actions are expeditiously carried out by the audited parties.
Contribute to PD Digitalization transformation process.
QUALIFICATION & WORK EXPERIENCE:
Degree from an accredited learning institution (recognized by Malaysia Education Department).
Minimum of (3) years' experience in project document controls and records management role.
Strong computer skills, particularly in the use of databases, electronic filing systems and Engineering Document Management system.
Familiar and comfortable with several software applications particularly Microsoft Office including Word, Excel, PowerPoint and Microsoft Teams.

Communicate effectively and report document management work progress.

Perform all tasks in line with the Information Security Quality Manual (ISQM) and the ISMS roles and responsibilities procedure.
Preference will be given to internal candidates.
