Administrative Assistants (Administration & Office Support)
Provides administrative support for financial staff members and office matters.
Duties & Responsibilities:
Ensure completeness of supporting documentation for sales (AR) and payments (AP).
Ensuring accuracy of information in Sales invoices and SAP.
Assist in preparing monthly stock sample count variance report.
Pre-checking on completeness of documentation for customer credit application.
Assist to generate CTOS report for customer background check.
Liaise with company's runner to arrange for documentations pickup and delivery.
Matching of Invoice, DO and PO for local sales documentation filing purpose.
Checking and knocking off payment for Sales Invoices.
Filing official receipts and Sales Invoices.
Assist in writing reminder letters for debt collection purposes.
Assist in Bomba reconciliation.
Monthly sending SOA to customers.
Dispose of all old invoices and official receipts in boxes.
Assist in daily check of company email & forward to PIC.
Ensuring daily lock of door for cafeteria room, check door & switch off lamp on ground floor.
Daily checking on letters & put to department tray.
Ensuring receiving and checking on utilities bills.
Assist in issuing BPP form for building maintenance matters & update progress with maintenance team.
Monitoring canteen operations, agreements, and cleanliness.
Monitoring cleaner attendance, payment, incentive, and daily cleaning work.
Liaising with company upkeep vendors.
Answering incoming calls.
Assist finance division for filing.
Assist in raising PR for admin purpose.
Attend to any ad-hoc matters in Finance and Admin.
Qualification:
Diploma (with relevant 1 year working experience) or Certificate in Accounting.
At least 1 year relevant working experience.
Able to communicate effectively with all levels of employees.
Sharp and alert and careful with accounting figures.
Able to use Microsoft Excel and Word.
Honest in handling cash.
Pleasant, approachable, integrity, fast learner and willing to learn.
Fit, healthy, acceptable level of mental alertness.
Fast adaptation to work-related changes.
Multitasking (Can arrange/handle different job scopes at one time).
