Position Overview: The Finance Assistant - Administrative Assistant provides essential support to the finance and administrative teams by managing day-to-day office tasks, assisting in financial record-keeping, and supporting the overall smooth operation of office functions. This role involves a mix of financial administration, clerical duties, and office management tasks to ensure efficient workflow within the office environment.
Key Responsibilities: Financial Support: Assist with basic bookkeeping, including recording transactions, processing invoices, and handling expense reports.Prepare, track, and process payments, purchase orders, and supplier invoices.Maintain and update financial records in accounting systems and ensure accurate data entry.Reconcile bank statements and assist with month-end financial reporting.Liaise with vendors, clients, and financial institutions regarding payments and financial transactions.Administrative Duties: Handle general office management tasks, including maintaining office supplies and ensuring the smooth operation of office equipment.Provide administrative support to management and staff, such as scheduling meetings, managing calendars, and organizing documents.Answer and direct phone calls, emails, and inquiries to the appropriate departments.Assist in preparing reports, presentations, and correspondence as needed.Manage filing systems (digital and physical) for financial documents and general office records.Assist in organizing company events, meetings, and team activities.Office Coordination: Coordinate and maintain relationships with external suppliers, service providers, and contractors for office-related needs.Ensure compliance with office health and safety procedures.Assist with onboarding new employees, including arranging workspaces and providing orientation on office procedures.Handle travel arrangements, bookings, and itineraries for staff.Data Entry and Documentation: Maintain databases and update internal records with financial and administrative information.Prepare and process financial forms such as purchase requisitions, receipts, and payment authorizations.Assist with internal audits by providing necessary documentation and reports.Skills & Qualifications: Proven experience as a Finance Assistant, Administrative Assistant, or in a similar office support role.Proficiency in accounting software (e.g., SQL) and Microsoft Office Suite (Excel, Word, PowerPoint).Strong organizational skills with attention to detail and accuracy.Excellent communication skills, both written and verbal.Ability to multitask and manage time efficiently in a fast-paced environment.Basic understanding of accounting principles and financial management.Preferred Qualifications: Bachelor's degree in Finance, Accounting, Business Administration, or related field.Familiarity with office management procedures and basic accounting procedures.Experience in handling sensitive information with confidentiality.
