Receptionists (Administration & Office Support)
Greet and welcome all ICDM clients and visitors with a cheerful, positive, and supportive attitude. This includes assisting clients & visitors in finding their way around the office.
Attend to all incoming calls politely and professionally, screening all incoming calls accordingly before directing/conveying any messages to the relevant individuals.
Receive and sort all incoming mails, documents, parcels, and distribute them to the respective ICDM personnel accordingly. Manage the ICDM designated courier service activities.
Keep a log record of all incoming mails & documents.
Responsible for ICDM office administrative tasks, including managing the booking of all meetings and training rooms and maintaining visual updates at the respective TV screens within the Members' Lounge/Reception Area/Training Room.
Uphold the ICDM Members' Lounge, ensuring cleanliness and assisting with requests and inquiries from members.
Admin:
Assist in all matters related to any Events/Training conducted at ICDM, ensuring the tidiness and cleanliness of all meeting and training rooms and that all required items (stationery, training materials, refreshments, and others) are provided accordingly.
Maintain a safe and secure environment for the Membership Area by checking members' details, issuing access cards, and collecting access as necessary, and maintaining updated visitor logs.
Manage and monitor the tea lady and/or cleaner's schedule and work.
Monitor the proper functioning of office support items/tools & office fixtures and fittings, notifying the respective PIC in ICDM of any malfunction or if repair arrangements are required.
Maintain an up-to-date record of the stock of office supplies (stationery, pantry food, cleaning items & tools), notifying the respective PIC to place an order on time before any stock runs out.
Liaise with the Building Management for all office maintenance matters.
THE REQUIREMENTS
Candidate must possess a minimum of at leastSPM/'O' Levelor equivalent.
Have at least 3 years of working experience handling front office, customer service, administrative & clerical functions. Prior experience as a receptionist would be an added advantage.
Excellent command of written and spokenENGLISHis compulsory.
Proficient in Microsoft applications (Word, Excel, Outlook, and PowerPoint).
Presentable with a professional attitude and appearance.
Able to work in a fast-paced working environment.
Proactive, and able to work independently with minimum supervision.
Have good time management skills.
Possess excellent interpersonal communication skills.
Able to contribute positively as part of a team, helping out with various tasks as required.
