Front Desk Officer Duties To welcome and greet visitors as soon as they arrive and connect them with the appropriate personnel(s). To ensure waiting visitors are comfortable, and are shown access to basic needs such as the washroom or water dispenser. To provide excellent customer service for all visitorsTo observe and maintain the Main Office security by controlling visitor access at the main area, following the safety procedures set forth. To bring visitors to the Meeting Room where requestedTo provide assistance and/or information where needed to walk-in visitors To provide the necessary forms or documents to visitors, where required, and to ensure proper filing is followed through throughout the processTo answer incoming calls in a timely manner, to screen and forward incoming phone calls, and direct calls to the correct department/personnel. Where needed, to take messages by caller and pass along the message to the intended recipientTo update, maintain and keep the Daily Employee Log Book up-to-dateTo remain alert, and maintain the safety aspects of all assets/items found in the reception area, including the Lost & Found item(s), or event-related items which are collected on behalf of the School To provide assistance and support on ensuring the safety of the students who are waiting in the Receptionist areaTo ensure the reception area is tidy and cleared of obstacles which may cause injuryTo alert the appropriate personnel(s) for matters in the Reception area which require further action or assistance from the SLT, School Nurse, Maintenance department, Cleaners, or Security Guards where required Pupil Parent Services To receive School daily mail/deliveries/parcels, and to alert the recipient to pick up the parcelsTo hand-off School documents/parcels to the appropriate courier personnel where required, and obtain proof of pick-upTo perform clerical receptionist duties such as filing, photocopying, and etc. To ensure the forms needed at the receptionist area is updated & sufficient and is filed neatlyTo prepare the fire evacuation list on a daily basis and ensure the latest copy is placed into the respective files and box dailyTo manage & maintain the full Registration Module on iSAMSTo provide assistance for student late comers and early dismissals (paper work)To assist with the menu list of students' meals for kitchen crewTo assist in the preparation of regularly scheduled reportsTo provide assistance, where required, to the Admin & Pupil Parent Services departmentTo do printing of ID cards for staff, parents and pupilsTo perform all other ad-hoc tasks assigned by the line manager
