HR and Admin Executive / Assistant ExecutiveConsulting & Generalist HR (Human Resources & Recruitment)
Responsible for coordinating and administering recruitment processes for inhouse foreign workers and local employees. The person must also have strong coordination and fast working style to handle administrative support for Human Resource Department as well as employee welfare matters.
KEY RESPONSIBILITIES
To initiate and coordinate foreign worker application quota by liaising with the relevant stakeholders to ensure hiring process is smooth and in compliance with government rules and regulations.
To administer foreign worker passport and permit renewal, medical checkup (FOMEMA), purchase of air tickets and arrangement of return to home country (COM).
To apply and administer Calling Visa Application (FWCMS) and maintain proper record for Calling Visa database (i.e. pending arrival, arrival, payment to agent, proper documentation etc.).
To craft and maintain all relevant Standard Operating Procedures relating to foreign workers' management.
To take charge for all audit findings relating to foreign worker management.
To respond to any and all government requests such as JTK, immigration, MIDA etc. in a prompt and timely manner.
To educate and monitor on foreign workers' discipline, and to follow up on foreign workers' health, accident and all other issues where necessary.
To facilitate cultural integration and provide support to foreign workers to ensure a positive work experience (e.g. assist on workers' arrival clearance, orientation briefing etc.).
To handle hostel application, renewal of JTK hostel certification and hostel tenancy agreements.
Ensure hostel facilities and environment are in good condition.
Implement hostel control to ensure hostel cleanliness and prompt handling of complaints on hostel issues.
Sourcing and procurement of furniture and fittings as per JTK standards and guidelines.
To maintain accurate records of hostel occupancy and related documents.
Recruitment & Selection
To initiate and coordinate the recruitment process, including posting, shortlisting, arranging for interview sessions and working closely with the hiring manager to ensure vacancies are filled in a timely manner.
Preparation of all necessary documentation to ensure hiring process is smooth and in accordance with company policies.
HR Compliance
Keep abreast of the latest developments in employment laws, rules and regulations and ensure that the Company's policies and practices comply with the relevant laws.
Liaise with local authorities (e.g. JTK, Immigration, PERKESO, KWSP etc.) for employment related matters and prepare and submit required documents to government authorities (e.g. for Special Passes, airport clearance for foreign workers, PERKESO claims etc.)
HR Admin
Assist in generating and verifying attendance reports.
Provide administration support to maintain employee and general files.
Assist Human Resource Department with any given tasks.
JOB REQUIREMENTS
Must have Diploma or Degree in Human Resource Management or equivalent .
At least 2 to 3 years of experience in similar positionincluding handling new and renewal applications for foreign workers.
Passionate about HRM and recruitment.
Good communication skills and able to work with all levels of people.
Committed, mature and pleasant personality.
Proactive, able to work independently in a fast-paced environment.
