Responsible for the full spectrum of Human Resources and its administrative functions with an emphasis on:
Manpower planning, budgets, recruitment and selection.
Industrial relations and employee relations.
Performance-based appraisals, compensation, welfare and benefits.
Policies, approaches and procedures.
To assist the Group Head in the smooth and efficient running of the People & Culture Department, ensuring that all policies and procedures outlined are strictly adhered to.
Liaise with local authorities in regard to all statutory regulations and liaison with government agencies and statutory bodies in relation to all labour-related matters.
ESSENTIAL FUNCTIONS
Manpower Planning, Budget, Recruitment & Selection:
To assist the Group Head with the overall recruitment and manpower planning process for the Group.
To liaise with proper job agencies and media representatives when there is a need to advertise and to coordinate internal vacancies advertisements.
To ensure timely recruitment and selection, in line with the required standard, manning and budget, and to be involved in the interviewing and screening process for levels Executives & below.
HR Administration and Employment:
To assist the Group Head in maintaining and developing a systematic administration system for the effective administration of the Human Resources Department with relevant monthly and quarterly reports focusing on manpower movement and tardiness, budgets, training and claims, and any other HR report as and when requested by the Management.
To ensure all HR processes are followed accordingly and monitor any changes or improvements required.
To assist the Group Head in developing and monitoring overall HR strategies, systems, policies and procedures across the organisation.
Assists in coordinating annual performance appraisals and arranging relevant information for annual salary adjustments (where applicable).
Monitoring staff attendance and leave application in the HR system.
Ensures all announcements, organisation charts, company policies, and relevant documents are updated in the HR system.
Employee Relations, Training & Development:
Hearing and resolving employee grievances, and counselling employees and supervisors.
Ensures that all employees understand and access the Company's Handbook, its policies and procedures (ICP) and standard operating procedures (SOP).
Coordinates a comprehensive training plan with relevant budgets for all training activities for the year.
To assist, develop and deliver in-house training and orientation programs where applicable based on the needs of the company and the Group.
Liaise with professional bodies, training institutions and consultants to source and develop appropriate programs.
Initiates and promotes the Company's CSR programs and ensures employee engagement and participation.
Handling disciplinary issues and misconducts, and ensuring compliance with company policies.
General Administrations:
Maintain an effective filing system to maintain all human resources documentation properly.
Assist in other ad-hoc reports and HR information as required.
Maintain strict confidentiality on matters concerning personnel records at all times.
To supervise employees within the group, ensuring that the correct standards and service are maintained at all times.
To undertake any other ad-hoc assignment as assigned from time to time by the Group Head.
To perform other duties assigned by the Group Head or Management from time to time.
PERSON SPECIFICATION:
Diploma/Degree in Human Resources or its equivalent.
At least 5 years of working experience in the related field is required.
Knowledge of Employment Acts and relevant legislation.
Excellent oral and written communication and presentation skills in English/Bahasa Melayu.
Good analytical and problem-solving skills.
Ability to maintain strict confidentiality at all times.
