Job DescriptionCo-ordination and support on meetingsCoordinate the clinical governance meetings (ie MDAC, Division Meeting, Sub-Division Meeting, etc) setup by ensuring the necessary logistic arrangements are made prior to the meeting, memos/reminders are send out to Doctors and relevant meeting documents are well prepared before the meetingFollow-up and compile meeting agenda prior to the meeting.Assist in taking and distributing minutes of meeting and ensuring proper record keeping of minutes of meeting in the division2. Administrative Support Manage all documents in the division by ensuring a systematic filing system, filing documents are kept updated, monitoring and keep track the movement of documents/files in the division.Archive documents for future reference and ensure update and filing on relevant doctors practicing documents such as Annual Practicing Certificate, Doctor Practicing Certificate, CV, all doctors Agreements, legal letters, Indemnity Coverage, etc. Attend to calls and inquiries by doctors and ensure resolution or channeled to relevant person or stakeholder Draft, prepare memos/letters and ensure confidential documents are kept locked.Handle all incoming and outgoing documents in the divisionComplete processing of documentation/correspondence in compliance with standard operating procedures3. Other duties Manage and coordinate on-call schedule for all specialties and subspecialties as relevant and ensure timely dissemination of the scheduleEnsure all doctors' schedules are updated and disseminated timely to all relevant departments Coordinate and arrange CME activities for doctors including arrangement of venue & F&B, CPD points application, etc as relevant.   Supervise and maintain the Doctors' Lounge by ensuring the requirements ie F&B, reading materials, etc in the lounge are arranged and met. Coordinate and manage doctors' scrubs attire.Performing or carrying out duty as per Standard Operating Procedures and Policies.Effective communication and collaboration with doctors and all parties concerned to ensure the best outcome Provide administrative support professionally to doctors.Responsible to be involved in and contribute to all quality improvement activities of the department and the hospital Participates in other related activities and initiatives of the company to ensure constant and smooth-running of the hospitalParticipate in learning and development programs identified by immediate supervisor to upgrade knowledge and skills required for the job.Assistance to other team members within department as and when requiredTo be involved in ACHS, MSQH and JCI accreditation / reaccreditation activities related to the department. Job ResponsibilitiesBachelor's Degree in Psychology/Business Administration or equivalent At least 1 years of relevant experience in administration support and healthcare experience required. Fresh graduate are welcome to apply. Ability to demonstrate attention to details at all levels including documentation and event/meeting coordination.Proficiency in Microsoft Office (Outlook, Excel and Powerpoint)Have good interpersonal skill to work collaboratively with doctors/consultant, staff and others stakeholders. Willingness to adjust to changing priorities and demands.
