Coordinate clinical governance meetings and ensure all logistical arrangements are made in advance.
Prepare and send meeting reminders, memos and related documents to doctors and relevant stakeholders prior to meetings.
Follow up and compile meeting agendas and assist in taking and distributing meeting minutes.
Ensure proper record-keeping and filing of meeting minutes within the division.
Manage and organize all division-related documents, ensuring a structured and up-to-date filing system.
Monitor and track the movement of documents/files within the division.
Archive important documents for future reference, including annual practicing certificates, doctor agreements, legal letters, indemnity coverage and more.
Handle inquiries via phone, ensuring timely resolutions or directing them to the appropriate stakeholders.
Draft and prepare confidential memos/letters, ensuring secure handling and storage of sensitive documents.
Oversee processing of incoming and outgoing documents in line with established procedures.
Manage and coordinate on-call schedules for doctors across specialties and subspecialties, ensuring timely communication of schedules to relevant departments.
Coordinate CME activities, including venue arrangements, F&B logistics and CPD points applications.
Supervise and maintain the Doctors' Lounge.
Oversee coordination of doctors' scrub attire and related provisions.
Contribute to quality improvement initiatives with the department and hospital.
Participate in accreditation activities and support team members within the department as needed.
Job Requirements
Bachelors' Degree in Psychology, Business Administration or a related field.
At least 1 year of experience in administrative support, preferably in a healthcare setting.
Strong attention to details.
Proficiency in Microsoft Office Suite.
Ability to adapt to changing priorities and demands, including meeting during lunch hours or occasional weekend events.
Good command in English.
