About the role
We are seeking an experienced Office Administration Assistant Manager to join our team at Quadtro Technology Sdn Bhd in Puchong, Selangor. As a full-time position, this role will be responsible for overseeing the day-to-day administrative operations and ensuring the smooth running of our office.
What you'll be doing
Review the current process and recommend any changes to improve internal processes and operational efficiency. To update Quality Procedures of Admin Department and amend, when necessary.
Coordination on application of telephone/internet lines and monitor monthly utilities bills.
Oversee the service, maintenance and repairs of telecommunication facilities, office equipment and motor vehicles.
Handle insurance coverage for office and equipment such as fire, all risk, burglary, cash in transit and motor vehicle.
Coordinate on insurance claims submission and follow up on approval.
Coordination on road tax renewal and distribution of road tax for company vehicle and monitor quit rent and assessment.
Ensure timely renewal of business licenses, subscription, and manage tenancy agreement/renewal for site canteen and office.
Maintain the update username and password of the administrator of respective site offices for time attendance system. Responsible for issuance of access card for new staff or lost card and its stock control.
Ensure safe-keeping of the office keys and updated record on authorized key holders.
General security, cleanliness and tidiness of the Operations Office.
Collaborate with other departments to ensure smooth communication and coordination such as facilitate meetings, convey information and resolve issues that arise.
Attend to all general administration correspondences.
What we're looking for
Bachelor's degree in Business Administration, Management or equivalent.
Minimum of 5 years of experience in office administration or management.
Proficient in both spoken and written Bahasa Malaysia, English and Mandarin.
Strong organisational and multitasking skills, with the ability to prioritise tasks effectively.
Excellent communication and interpersonal skills, with the ability to interact with all levels of the organisation.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Demonstrated ability to manage budgets, develop policies and lead a team.
High level of integrity, discretion and professionalism.
