Job description: Job Summary
Supervise and co-ordinate the administrative services covering purchasing and the efficient provision of office services in mall management (Quayside Mall).
Key ResponsibilitiesAssist in developing and implementing systems, policies, and procedures for the provision of efficient administrative services.
Ensure the approved systems, policies, and procedures are consistently implemented and administered throughout Gamuda Land.
PurchasingReview and process purchase orders and ensure that they are in accordance with approved budgets, policies, and procedures.
Identify, evaluate, and recommend suppliers for all normal office requirements and assist in negotiations with suppliers except for capital investment and purchase of major fixed assets (where assistance may be required on a need basis from time to time).
Maintain complete and up-to-date records and documents for all purchases made.
Check and verify the accuracy of invoices before recommending approval for payment.RecordCheck and verify expenses relating to maintenance, servicing, and repairs of vehicle, office equipment, and fittings.MaintenanceResponsible for regular maintenance of all office equipment and fittings.OthersSupervise and organise day-to-day administrative matters e.g., dissemination of information/procedures, external/internal despatch and deliveries, mailing and courier service at Head Office, booking of pool car and driver (where applicable).Any other duties that may be assigned from time to time by the management.
QualificationsDiploma or Degree in Administration or related disciplines.
Working knowledge of Microsoft Office and e-mail.
Good negotiation skills.
Initiative and organizing skills.
