Job Summary: 
Operation Assistant plays a critical role in supporting the Operation Officer to ensure the seamless execution of property defect rectification, maintenance tasks, and quality control measures for various development projects. This role involves close coordination with property owners, subcontractors, suppliers, and internal departments to uphold high standards of quality and efficiency in property management and maintenance activities. 
Job Responsibilities:
Defect and Maintenance Management: Assist in managing defect rectifications, property maintenance, and special cases in compliance with company policies and local regulations.Stakeholder Communication and Coordination: Liaise effectively with property owners, subcontractors, suppliers, and internal teams, such as Project and Property Management, to facilitate efficient defect and maintenance resolutions and ensure customer satisfaction.Key Job Tasks:
Inspection and Certification: Inspect, monitor, and verify all defect and rectification work, focusing on cases within the Defect Liability Period (DLP), special situations, and ongoing maintenance.Quality System Compliance: Ensure that all maintenance and rectification processes align with company policies, ISO standards, and local Malaysian regulations.Data Management: Support subcontractors in accurate and timely entry of defect and maintenance data into property management systems, including digital applications such as MHW RoadRunner.Joint Inspections: Conduct Joint Inspection Appointments (JIA) and Work-Done Joint Inspections (WDJI) with property owners and stakeholders to verify and validate completed maintenance tasks.Asset Management: Maintain and oversee inventory of company assets on site, preventing misuse or loss and ensuring appropriate storage.Operational Efficiency: Assist in coordinating defect and maintenance tasks to enhance operational effectiveness and timely service delivery.Work Order Issuance: Issue work orders for repairs and maintenance, submitting them for verification by superiors and entry into the internal system for approval as needed.Daily Reporting: Prepare and submit daily updates on defect management activities to keep records current and inform decision-making.Goal Achievement: Work toward achieving set quantitative and qualitative goals in defect management, adhering to performance standards.Customer Service and Communication: Ensure clear communication with all stakeholders to achieve service excellence and resolve issues swiftly.Additional Duties: Perform other duties and responsibilities as assigned by the Company to support overall operational success.Skills and Qualifications:
Strong communication and coordination skills, with the ability to work effectively with diverse stakeholdersUnderstanding of quality management systems, ISO standards, and defect liability processes in MalaysiaProficiency in data management and digital property information systems (e.g., MHW RoadRunner)Detail-oriented, proactive, and able to adapt to dynamic work environmentsExperience in property management or real estate development is advantageous
