Operation Assistant Playsmart Kuching & Kota Kinabalu (Non- Executive)To coordinate, execute and administer administration tasks, daily operational matters, and Supply Chain Management activities for the Satellite Center and Outreach programs by implementing effective execution strategies aligned with Progress30 and PETRONAS Corporate Agenda to ensure the seamless functioning of the satellite center.
Key Accountabilities
Assist in coordinating daily satellite center operational matters through efficient deployment of staff such as stationing, rostering, scheduling of rollcall to ensure smooth daily science center operation that meets expectation from internal and external customer towards achieving customer excellence.
Assist Manager of the Satellite Center to coordinate administration demands and necessities through efficient reporting, tracking, monitoring, documenting and filing of items related to: volunteer management, roster and personnel movements, meeting related matters ie: venue, F&B arrangements and travelling related matters ie: accommodation, logistic etc.
Execute and administer the end-to-end financial and procurement processes within the satellite center to ensure the timely acquisition of necessary materials and services, preventing any disruption to business operations at the Satellite Centers and Outreach programs, ensuring work processes involved are systematically and effectively performed with a high standard of integrity, professionalism and quality in accordance with the approved company Limit of Authority (LOA), Policies and Standard Operating Procedures (SOPs) in order to safeguard the Company' interests and avoiding contractual and legal disputes/complications.
Responsibilities encompass: Day-to-day procurement activities such as Request for Quotation, evaluation of quotation and issuance of purchase/release/service order through various strategy including Price Agreement, ETT and PO.
Perform and deliver the roles as unit's procurement focal point which shall include but not limited to the roles of Procurement Representative, SAP, MDG by attending the training provided by PETRONAS GSCM and providing an effective training to all the relevant staff within the unit to ensure compliance to the established policies and procedures and to protect/safe-guard the Company interest.
Execute the payment process utilizing various system ie: SAP, Kofax PD, SES/GRN.
Evaluate and identify areas for improvement in the department's procurement process, working towards enhancing Operational Excellence. Prepare, analyse and compile data and feedbacks for Volunteer Management Unit KPI via quarterly report submission to determine the effectiveness and impact of volunteer programme for Petrosains business and PETRONAS image.
Assist the Satellite Center Manager to conduct regular Health, Safety, Security, and Environment (HSSE) assessments, document and compile the assessment findings, to ensure the satellite center operates in a safe and reliable manner.
Qualification, Experience & Competencies
Diploma of Administration or similar discipline.
Able to operate common computer applications with minimal advance skills in the latest Microsoft office suite.
Intermediate Excel skills.
Possess general basic skills in company related systems (i.e SAP).#J-18808-Ljbffr
