Job Description Operations Executive Overview The Operations Executive is responsible for the efficient, seamless and efficient operation of the dormitory management. This role involves overseeing facility management, resident relations, attending to residents needs and concerns including prompt response and rectification of maintenance issues. The successful candidate will ensure a safe, comfortable, and engaging living environment for all residents while maintaining compliance with established policies and procedures.
Key Responsibilities Facility Management
Execute daily dormitory operations of the dormitory, including facility maintenance, cleanliness, rooms hygiene inspections and securityCoordinate repairs, cleaning services, and room allocations in collaboration with the Marketing DepartmentConduct regular inspections of the common areas, canteen, minimart, and rooms to maintain high standards Resident Relations
Facilitate the onboarding of new residents, manage check-in/out processes, and enforce access control and visitor policiesAddress and resolve resident concerns, mediate disputes/conflicts, and organize community-building activities to promote a positive living environment Administrative Duties
Maintain accurate and up-to-date resident records, incident reports, and maintenance logsPrepare and submit required reports to the ManagementHandle correspondence, both internal and external, in a professional and timely manner Communication
Maintain clear and open communication with residents, staff and managementKeep residents informed about important updates, social events, and changes in policies or governing dormitory regulations Emergency Response
Execute emergency procedures effectively, respond to incidents, and mitigate safety hazards promptlyCollaborate with relevant authorities as needed to ensure a safe environment Requirements Higher Secondary Education/Trade Certificate or Diploma with experience in a similar role or related fieldStrong interpersonal and communication skillsExcellent organizational and time management abilitiesAbility to manage multiple tasks and prioritize effectivelyGood computer literacy and proficient in Microsoft Office applicationsKnowledge of relevant regulations and compliance standards would be advantageousTrained in fire safety, emergency response, first aid & AED would be advantageous
