**Responsibilities**:1. Signature Collection and Document Management:- Collect signatures for board papers and agreements.- Manage legal documents between the departments, subsidiaries and parent companies- Ensuring proper storage and organization of documents, archiving both electronically and and as hard copies- Maintain both hard copies and digital copies, including printing/ scanning when needed.- Coordinate notarization procedures and approvals with embassies.2. Legal Document Organization and Flagging:- Organize existing legal documents for easy retrieval.- Coordinate document flow between the legal team and stakeholders.- Prepare simple correspondence and legal documents.- Ensure up-to-date corporate documentation within the APAC region.- Sort and organize old documentation to clear backlog.3. Administrative Support and Practical Workaround Plans:- Develop practical workaround plans to simplify administrative processes.- Assist with general office tasks and day-to-day matters.- Coordinate with external translators/translation agencies for corporate documents.- Work with logistics partners for document coordination.4. Legal Bill Confirmation and Highlighting Changes:- Verify and confirm the accuracy of legal bills.- Sending the invoices issued by third parties for payment if found accurate and acceptable / following up the payments with finance department- Identify and highlight changes or discrepancies for review.**Requirements**:- **Minimum requirement: SPM with at least 5 years of working experience, or Certificate in Administrative Skills/ office administration or other related course**:- **Previous paralegal experience, at least 5 years, preferably in a corporate or MNC setting preferred.**:- Understanding of legal document management and signature collection processes.- Strong organizational skills with attention to detail.- Familiarity with scanning and digital document management tools.- Good communication and interpersonal skills.- Knowledge of legal billing procedures and expense tracking.- Ability to work independently and meet deadlines.- Fluency in Malay and English, with the ability to read and write in Bahasa Indonesia being advantageous.- Experience in contract management and strategizing with legal counsel.- Work location: Tanjung Langsat, Johor.We offer competitive compensation packages and opportunities for professional growth within our organization.
