The Payroll Officer is responsible for the timely and accurate processing of employee payroll.
This includes verifying hours worked, processing deductions, handling tax filings, and ensuring that payroll data is correct.
The Payroll Officer works closely with HR, Finance, and other departments to maintain accurate payroll records and ensure compliance with applicable laws.
Key Responsibilities:
Payroll Processing:Process and manage weekly, bi-weekly, or monthly payroll for all employees.
Verify and validate timesheets, attendance, and hours worked.
Calculate overtime, bonuses, commissions, and other payroll-related adjustments.
Deductions and Benefits:Ensure accurate deductions for taxes, insurance premiums, retirement plans, and other benefits.
Administer deductions for wage garnishments and child support where applicable.
Compliance and Record-Keeping:Ensure compliance with national, state, and local payroll laws and regulations.
Maintain accurate payroll records and reports, including pay stubs, tax forms and audit trails.
Handle payroll tax reporting and filings, including quarterly and annual tax submissions.
Stay updated on changes to tax laws, employment regulations, and payroll best practices.
Employee Queries and Support:Provide support to employees regarding payroll-related inquiries and issues.
Address discrepancies in pay, deductions, or benefits.
Assist employees with year-end tax-related documentation.
Payroll Reporting:Prepare and submit payroll reports for management and auditing purposes.
Assist in the preparation of financial reports related to payroll expenses and budgeting.
Systems and Software:Use payroll software to maintain records and process payroll accurately.
Suggest improvements in payroll processes and systems to increase efficiency.
Work with HR to ensure that employee records are up to date, including changes in employment status, tax elections, and benefits.
Coordinate with Finance for the timely transfer of payroll funds.
Skills & Qualifications:
Educational Requirements:Bachelor's degree in Accounting, Finance, Business Administration, or related field (preferred but not mandatory).
Certification in payroll (e.g., Certified Payroll Professional – CPP) is a plus.
Experience:Minimum 2 years of experience in payroll processing or a related field.
Experience with payroll software (SAGE) is preferred.
Skills:Strong knowledge of payroll regulations, taxation, and compliance.
Attention to detail and accuracy in data entry and calculations.
Strong organizational and time-management skills.
Ability to handle confidential and sensitive information.
Good communication skills, both written and verbal.
Proficiency in Microsoft Office, particularly Excel.
