Role Overview:
Our client is looking for a detail-oriented and proactive Personal Assistant (PA) to provide dedicated support to executives, ensuring the seamless management of administrative tasks. The ideal candidate will possess exceptional problem-solving abilities, meticulous attention to detail, and strong communication skills.
Key Responsibilities: Executive Administrative Support: Manage executives' calendars, including scheduling appointments, meetings, and travel arrangements.Prepare and organize documents, presentations, and reports as needed.Communication and Stakeholder Management: Act as the primary liaison between executives and internal/external stakeholders.Facilitate clear communication by overseeing reports, coordinating with various departments, and ensuring information flows efficiently.Problem-Solving and Initiative: Address challenges proactively by identifying areas of improvement and proposing practical solutions.Provide swift responses to urgent matters while maintaining focus on key priorities.Meeting Management: Organize, schedule, and coordinate meetings, including preparing agendas, distributing materials, and taking accurate minutes.Track action items and follow up on progress to ensure completion.Event Coordination and Miscellaneous Tasks: Assist in planning and executing company events, workshops, and other business functions.Support executives with ad hoc tasks and special projects as needed.Key Requirements: Proven experience as a Personal Assistant or in a similar administrative capacity.Strong interpersonal and communication skills with the ability to liaise effectively in both Mandarin and English to deal with Chinese Stakeholders.Willingness to travel as required.Exceptional attention to detail and commitment to accuracy in a dynamic, fast-paced environment.A proactive, solution-oriented mindset with strong problem-solving skills.Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
