A. Procurement Responsibilities : Assist in identify and evaluate suppliers in China for machinery, parts and equipment
Ensuring effective communication with Chinese supplier on pricing, lead times and product quality
Process purchase orders based on internal requests, ensuring specifications and quantities are accurately conveyed to suppliers in China.
Track and follow up on all purchase orders, managing logistics and ensuring timely shipment and delivery from China.
Negotiate favorable prices, payment terms and delivery conditions with Chinese suppliers.
Analyze cost structures, including shipping and customs costs, to optimize procurement efficiency.
Ensure all procurement activities comply with international trade regulations, including Incoterms (International Commercial Terms), import/export rules and product certifications (CE, ISO, etc)
Maintain accurate records of all procurement transactions, including purchase orders, invoice and shipping documentation.
Monitor market trends, currency fluctuations and trade regulations between China and the local market to help mitigate risks in pricing and supply.
B. Sales Responsibilities : Respond to customer inquiries regarding products, pricing and availability for machines and equipment sourced from China
Assist the sales team in preparing quotations, proposals and product catalog tailored to customer requirement.
Provide customers with information about the product
Coordinate with the logistics team to make sure the delivery time of equipments and machines are smooth.
Track customer orders, ensuring accuracy and alignment with procurement timelines from Chinese suppliers.
Handle and liaise with Chinese suppliers for after sales request such as warranty claims, product returns and repairs
Handle customer complaints and follow up on product performance post sale
Assist in maintaining customer records, sales reports and tracking sales performance related to Chinese-sourced machines.
Assists in prepare documents for sales tenders, bids and large customer proposals.
C. Qualifications : Familiarity with Chinese market dynamics and supplier networks
Proficient in written and verbal communication skills in multilingual in chinese and english.
Familiarity with various types of industrial machinery and equipment, thier technical specifications and operational requirements.
Ability to read and understand product blueprints, technical specifications and certification requirement.
Strong knowledge of procurement processes, supplier management and contract negotiation with a focus on international (China) suppliers.
Familiarity with international shipping, import/export processes and Incoterms.
Experience in preparing quotations, sales orders, proposals as well as handling customer inquiries and negotiations.
Ability to manage customer expectations, resolve complaints and provide high quality after sales support.
