As a Project Executive, you will be pivotal in facilitating effective project execution by assisting Project Managers and Supervisors with decision-making, scheduling, and documentation.

What will you be doing?
Collecting information to aid Project Managers and Supervisors' decision-making.
Monitoring project schedules, updating project plans, and notifying Project Managers of necessary schedule updates.
Supporting Project Managers and Supervisors with customer correspondence, documentation preparation, and archiving.
Monitoring invoicing status vs. billing plans, reporting deviations, and preparing status information for forecast reviews.
Updating cost forecasts with actuals and incoming invoices, ensuring monthly updates, and following forecast change approval guidelines.
Creating Purchase Requisitions (PRs) in the system as requested, ensuring completeness, and liaising with the Purchasing Coordinator for clarification.
Ensuring accurate labor planning before installation activities, including subcontracting PRs and planning installation hours.
Participating in Pre-Delivery Reviews and ensuring accurate cost planning for Percentage of Completion (PoC) Revenue Recognition.
Managing document requirements for fitters and subcontractors in coordination with the Installation Resource Manager.
Handling logistics needs, coordinating with the Logistics Coordinator, and supporting Project Managers and Supervisors.
Monitoring actual costs vs. plans, reporting deviations, and preparing status information for forecast reviews.
Ensuring the correct booking of activities and cost elements, checking invoices without POs/GRs, and booking against planned primary costs.
Administering change orders/variation sales, handling contract changes promptly, and ensuring proper communication across functions.
Handling contract/scope-related claims with the Project Manager, managing customer correspondence, and documentation.
Monitoring project gates and S-Plan accuracy, maintaining the schedule in the system as instructed.
Compiling end-of-project documentation sets for submission to customers and archiving.
Setting accurate planning of remaining costs in the system for late cost creation after pre-closing reviews.
Ensuring correct system status management for sales recognition, order closing, and preparing orders for archiving.
Are you the one?
5-10 years of experience in project management support, preferably in construction, engineering, or similar industries.
Capable of leading a team and ensuring effective and consistent success according to established guidelines and budgets.
Skilled in people leadership and management, including setting targets and conducting PDPs and IDPs with team members alongside the Delivery Operations Director.
Proficient in driving competence development within the team and identifying skill gaps.
Able to facilitate information sharing and create a collaborative working environment.
Experienced in daily operations management, including allocating work, monitoring team performance, and reviewing daily priorities to ensure results.
