In this role, you will be responsible for greeting all site visitors and ensuring they sign in on the visitors' log.
You will answer phones and direct callers to the appropriate staff member, manage delivery tickets and other documentation to be sent to the main office, oversee timesheets for field employees under the Superintendent's supervision, place orders for supplies as directed, and maintain a clean office environment.
Additionally, you will take and distribute meeting minutes as required, make copies for distribution, maintain office files and documentation, update logs, and accept deliveries.
Job ResponsibilitiesWork directly for the Superintendent.
Work is generally administrative, and project-oriented and will require the ability to comprehend and follow directions.
Coordinate and organize a system to complete daily tasks required such as organizing the office files, contracts, and submittals similar to the system used in the corporate office.
Be courteous and professional with employees, our clients, subcontractors, vendors, and the public.
Have the ability and knowledge to operate a computer and work with Microsoft programs such as Word and Excel and use Microsoft Outlook.
Use office equipment such as copiers, printers, scanners, label machines, etc.
May keep timesheets, weekly hours, and per diem for the field employees, email to Payroll weekly.
Keep copies of all delivery tickets and determine if it will be a Major Purchase Order or a Field Purchase Order.
Make copies and send originals to the PM or Accounts Payable Clerk for processing and payment.
Log and Issue Field Purchase Order numbers, enter rental data and usage on Rental Equipment Reports, track concrete usage with the concrete log, and email to the PM and AP on a monthly basis.
May support entering daily subcontractor's activities, weather, rainfall, deliveries, and meetings on the Superintendent's Daily Log.
Purchase office supplies, order material, and rental equipment as directed by the job site.
Call vendors for quotes to do a cost comparison for materials or rental equipment.
Set up vendor accounts for purchase or monthly rentals, such as copiers, toilets, water, ice, lumber, rental equipment, etc.
Perform other duties as assigned.
Education/ExperienceHigh school/Diploma preferred.
Specific Knowledge, Skills, License, Certifications Etc.Follow specific directions, perform a variety of duties that may often change, work within standards of accuracy, repeat tasks of short duration according to a set procedure, and evaluate information using measurable standards.
Written and spoken communication in English is required.
Proficiency in Microsoft Office and strong organizational skills are preferred.
